    Job Summary: This position is primarily responsible for answering incoming telephone calls, as well as performing a variety of administrative functions such as supporting product line to include market and repair information retrieval.

    Essential Duties and Responsibilities:

    • Answers incoming telephone calls determines purpose of callers, and forwards calls to appropriate personnel or department.
    • Ensure reception area is tidy and presentable.
    • Oversee general office maintenance.
    • Report deficiencies and repairs of appliances equipment
    • Submit office maintenance service requests to building management when needed (ie. lightbulb replacements, leaks)
    • Greets visitors, determines nature of business, and announces visitors to appropriate personnel.
    • Receives, sorts, and routes mail, and maintains and routes publications.
    • Assist organizing catering.
    • Order office supplies/keep inventory of stock and restock as needed.
    • Schedule meetings and conference rooms.
    • Handles multiple projects and other clerical duties as needed.
    • Research Return Material Authorization (RMAs) requests and ensure proper documentation and credit is applied.
    • Act as a point of contact for customer inquiries regarding RMAs.
    • Track and monitor returns of RMAs to ensure they are closed out in a timely manner.
    • Request warranty for parts returned by customers to ensure warranty repair is fulfilled.
    • Obtain market and repair information for airframe parts and enter into the system accordingly.
    • Generate daily reports as required.
    • Source parts to support sales and/or programs as needed.

    Education and Experience:

    • High school diploma or general education degree (GED) required. Bachelor's Degree preferred.
    • Must have a minimum of two (2) years of previous customer service experience including working with the public.
    • Two (2) years of general office experience.

    Skills and Abilities:

    • Ability to apply common sense to carry out detailed written or oral instructions.
    • Attention to detail is imperative and must be able to multi-task.
    • Must be highly motivated.
    • Must exhibit a high level of confidentiality with work product.
    • Must have strong customer service skills with aviation customer service preferred.
    • Must be able to handle multiple priorities at the same time and have the ability to follow through on all assigned tasks.
    • Demonstrated ability to use sound judgment and discretion in dealing with customers, vendors, and co-workers.
    • Strong human relations, communication, and telephone etiquette skills.
    • Knowledge of Microsoft Office Suite, including but not limited to Word, Excel, Outlook, and Internet.
    • Ability to work independently and in a team environment.
    • Must be able to learn company systems.

    Physical Requirements:

    • Requires prolonged periods of sitting at desk.
    • Must be able to use hands and arms for repetitive movements, such as movement of wrists, hands, fingers while typing.
    • May occasionally be required to lift and carry up to 10lbs.
    • Hours may vary due to organizational need.
