Role:
Client Concierge (Reception)


Schedule:
Wednesdays 8:30AM - 5:30PM with opportunity for growth in the future


ABOUT US
Dr. Brad Gandolfi is board-certified by both the American Board of Surgery and the American Board of Plastic Surgery.

He is also an active member of the American Society of Plastic Surgery, widely considered to be the most prestigious group within the profession.

Dr.

Gandolfi completed five years of surgical residency in New York City, followed by a coveted position at Duke University, where Dr.

Gandolfi completed a residency in plastic surgery. He further developed his skills in facial surgery and cosmetic surgery at UCLA Medical Center.

He then served as a clinical instructor and also completed a craniofacial fellowship at UCLA before returning to the tri-state area to practice plastic surgery.

Dr.

Gandolfi's private practice has two locations:

A brand new office and surgical center in New York in the heart of Greenwich Village, and an Office and Medical Spa (The Hudson Med Spa) in Englewood, NJ.


ABOUT YOU

Educational Requirements

  • High school diploma required
  • Associates or Bachelor's degree preferred

Qualifications and Experience:


  • Three years' experience in medical office, hospitality or other customer serviceoriented position
  • Multilingual, Spanish preferred
  • Experience using practice management software (NexTech experience a huge plus)
  • Strong patient service skills with the ability to listen and communicate effectively and empathetically
  • Familiarity with medication administration protocols
  • Proficient in use of Microsoft Suite
  • Agile, with the ability to perform multiple and diverse tasks simultaneously; good time management skills
  • Strong written and oral communication skills
  • Pleasant speaking voice and demeanor excellent telephone skills
  • Proven experience with proactive customer service and service recovery
  • Familiarity with scheduling and rearranging appointments
  • Growth mindset a must
  • Neat, professional appearance
  • Experience working with skincare products and medical practice (specifically cosmetic medicine) a huge plus
  • Strong ethical judgement
  • Comfortable taking and giving feedback

ABOUT THE ROLE

Core Responsibilities Include

  • Opens and closes the office each day, according to protocol
  • Brings a positive attitude to the day that rubs off on everyone you come in contact with
  • Appropriately discusses cosmetic consultations, cosmetic procedures and skin care services with prospective patients over the phone—encourages them to schedule an appointment.
  • Sends new patient paperwork to new patients within 2 hours of scheduling the appointment
  • Runs the daily schedules—makes a copy for the physician, nurse, manager and any others in the office
  • Greets patients as they arrive for scheduled appointments with excitement and energy
  • Provides new patients appropriate paperwork for required signatures (if the patient has not been preregistered)
  • Verifies demographic and insurance information for new and established insured patients, according to protocol; scans or copies insurance card, drivers license, front and back, and new patient paperwork into the practice management system or chart
  • Ensures all patient paperwork is complete before patient is seen follows practice protocol to notify the clinical staff when patient is ready to be seen
  • Informs patients in the reception area when the surgeon is running behind
  • Collects payments for consultations, skin care and spa services; posts charges and payments into the computer daily and schedules follow up appointments, as needed. Provides computerized receipt to patients.
  • Sells skincare products according to recommendation of the providers.

  • HIPPA
  • Maintains patient confidentiality by following the HIPAA Compliance Plan established by the practice; releases PHI in accordance with the practice's HIPAA Compliance Plan, attends regular HIPAA training, maintains data security by refusing to share computer and other passwords, and reports all identified and suspected HIPAA violations to the Privacy Officer
  • Access to PHI (Protected Health Information)
  • This position has extensive access to PHI. It requires access to computerized schedules and computerized or paperbased billing and reimbursement data both of which contain a patient's clinical and financial information. It also may require the review of patient referral forms, lab results, tests, and encounter form data in the medical record in order to prepare patient information for the physicians and cli
