Working with the Staff Attorneys, the Administrative Assistant performs duties in support of the Volunteer Clinic for Veterans (VCV).

The Emory Law Volunteer Clinic for Veterans assists those who have served our country with legal issues, including claims for service-connected disability before the Veterans Administration and in subsequent appellate proceedings.

This part-time, non-exempt position is grant funded and expected to work an average of twenty (20) hours per week though additional hours may be needed.


JOB DESCRIPTION:

  • Provides administrative support for the Emory Law Volunteer Clinic for Veterans.
  • Responds to incoming telephone calls.
  • Conducts intakes and preliminary screenings.
  • Maintains calendars and prioritizes meeting requests for management.
  • Reviews incoming correspondence and identifies items of special interest to management; handles routine correspondence and prepares appropriate responses.
  • Prepares charts and graphs for reports and presentations.
  • Schedules meetings and handles logistics for quarterly estate planning clinics.
  • Maintains case management system Clio and spreadsheets.
  • Ensures office activities comply with Emory policies and procedures.
  • Maintains records and files, both paper and online, and establishes filing procedures to ensure accuracy.
  • Ensures security and confidentiality of all documents.
  • In coordination with Emory Law's Communication department, maintains current information on the center's website.
  • Initiates, processes, and maintains records and invoices.
  • Keeps management apprised of account status, identifies costeffective solutions and may authorize expenditures.
  • May monitor or maintain budgets and grants, assist with budget development, and prepare related expense reports and reimbursements.
  • Oversees ordering and maintenance of office supplies.
  • Assists student volunteers with their appointments.
  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS:

  • Bachelors degree or equivalency of a high school diploma and five years of administrative experience.
  • Proficiency with Microsoft Office including Outlook, PowerPoint, and Excel.
  • Experience with collaborations tools (OneDrive, Zoom, Teams, and/or others).

PREFERRED QUALIFICATIONS**:

  • Current notary public or eligible to become one promptly upon employment.
  • Demonstrated exercise of sound judgment and solutions orientation.
  • Proficient with the Microsoft suite including Outlook, Excel, Word, and PowerPoint.
  • Outstanding data management, administrative, organizational, and interpersonal skills.
  • Strong attention to detail.
  • Must be willing to learn and implement new technologies to enhance task performance.
  • Excellent English oral and written communication skills.
  • Ability to initiate and followthrough with mínimal supervision as well as meet deadlines, work under pressure, adapt to changing priorities, be part of a collegial team and balance competing assignments.
  • Experience working in or demonstrated ability to work with diverse constituencies and support an inclusive environment.
  • Experience in higher education, law firm, and/or public service agency.
