Description
The Auto Dealership Office Manager oversees and manages all administrative tasks within the dealership.

They are responsible for maintaining efficient office operations, coordinating administrative staff, managing finances, and ensuring customer satisfaction through effective communication and service.


Responsibilities:

Office Management:


  • Supervise and coordinate administrative staff, including receptionists, clerical staff, and administrative assistants.
  • Develop and implement office policies and procedures to ensure smooth operations.
  • Maintain office equipment and supplies, and ensure proper functioning of office systems.

Financial Management:


  • Manage dealership finances, including accounts payable and accounts receivables.
  • Monitor expenses and revenue, identifying areas for cost savings and revenue generation.
  • Highly proficient in Excel

Customer Service:


  • Ensure excellent customer service standards are maintained throughout the dealership.
  • Address customer inquiries and concerns promptly and professionally.
  • Collaborate with sales and service departments to resolve customer issues and ensure a positive experience.

Inventory Management:


  • Oversee inventory control processes, including monitoring stock levels and conducting regular audits.
  • Coordinate with sales and parts departments to ensure accurate inventory records and efficient ordering processes.

Human Resources:


  • Assist with recruitment and hiring of administrative staff as needed.
  • Conduct employee training and performance evaluations.
  • Manage employee schedules and timekeeping records.

Compliance and Legal:


  • Ensure compliance with all dealership policies, as well as local, state, and federal regulations.
  • Maintain records and documentation related to licensing, permits, and legal requirements.

Technology and Systems:


  • Stay updated on technological advancements relevant to dealership operations.
  • Implement and manage software systems for accounting, inventory management, and customer relationship management (CRM).

Qualifications:


  • Bachelor's degree in business administration, finance, or a related field preferred.
  • Previous experience in office management or administration, preferably in the automotive industry.
  • Strong financial management skills, including experience with accounting software.
  • Excellent communication and interpersonal skills.
  • Ability to multitask, prioritize tasks, and work in a fastpaced environment.
  • Knowledge of automotive dealership operations and regulations is a plus.
