The New Patient Coordinator is a pivotal role in healthcare, focused on efficiently processing incoming and outgoing referrals and supporting the Primary Medical Assistant.

This position encompasses a range of responsibilities, including patient registration, authorization, verifying insurance benefits, and scheduling appointments, all while adhering to ethical, administrative, legal, and regulatory standards.

A crucial aspect of this role is the maintenance of patient and employee confidentiality. The coordinator ensures smooth and compliant operations within the health care system, facilitating timely and organized patient care.

Hourly Range:
$20 - $22 (based on level of experience)


Key Responsibilities

  • Maintain ongoing tracking and appropriate documentation on referrals to promote team awareness and ensure patient safety.
  • Ensure complete and accurate registration, including patient demographic and current insurance information.
  • Handles requests from thirdparty referral sources and provides relevant information and data.
  • Assemble information concerning the patients clinical background and referral needs. Per referral guidelines, provide appropriate clinical information to referring physician.
  • Ensure prior approval requirements are met, including insurance eligibility and authorization.
  • Review details and expectations about the referral with patients.
  • Ensure that referrals are addressed in a timely manner.
  • Ensure the patients chart is up to date with information on physician notes, consults, hospitalizations, ER visits, and test results.
  • Checks all pages in the record to verify correct patient information.
  • Interprets and implements policies relating to the disclosure of confidential patient medical information.
  • Analyzes and answers correspondence requests in compliance with applicable policies, procedures, and regulatory requirements/statutes.
  • Reviews, and completes fax inboxes in a timely manner.
  • Demonstrates a courteous, respectful, and helpful attitude when working with patients.
  • Reviews and completes EHR tasks as assigned.
  • Follow employee and nursing policy/procedure manuals and adhere to HIPAA and OSHA regulations.
  • Documents patient transactions, phone conversations, observations, and orders in medical records according to the clinics policies and procedures.
  • Cooperates with other personnel to achieve department objectives and maintain positive employee relations.
  • Perform all other duties as assigned by the office manager.

Qualifications

  • High School diploma or equivalent certification required.
  • Medical Administration Certification preferred.
  • Experience in insurance and insurance authorization.
  • Past job history as either a medical receptionist, front office MA, medical billing, or [ideally] hospital/emergency room registration
  • 1+ years of referrals and medical records experience required.
  • Bilingual Spanish strongly preferred.

Schedule:


  • M-F start time will be between 8:00 and 8:30, end time will be between 4:30 and 5:00 (standard business hours)
