Spectacular Kids is currently seeking an Administrative Assistant for our Missouri City, Txlocation


We are looking for individuals who possess a

Position Summary:


Responsibilities and Duties:


  • Clinic Guests and Waiting Room
Greet clients and guests when they arrive to the clinic.

  • Offer parents and vendors a beverage upon arrival.
  • Ensure the Waiting Room is neat and organized.
  • Maintain responsibility for waiting room entertainment (television or music).
  • Phone Calls
  • Direct incoming phone calls to the appropriate extension.
  • Inventory and Clinic Supplies
  • Conduct weekly inventory checks.
  • Update and maintain inventory spreadsheet.
  • Conduct cost comparisons for inventory.
  • Order inventory for clinic supplies.
  • Distribute supplies as needed.
  • Ensure all restrooms are stocked with toilet paper, soap, paper towels, and other essentials.
  • Ensure breakrooms are stocked with paper towels, soap, utensils, plates, bowls, and other essentials.
  • Accept deliveries and distribute appropriately.
  • Maintain list of client crafts for each month.
  • Maintain craft supplies.
  • Update and maintain client yearly and monthly supplies.
  • Distribute walkie talkies to each therapy room and BCBA each morning.
  • Assist Business Manager and CEO with overflow duties.
  • Update and maintain client calendar in staff break room for client absences, early dismissals, and late arrivals.
  • Copy body scan forms and distribute to BCBAs weekly.
  • Check mailbox daily and distribute mail accordingly.
  • Make copies and fax documents as required.
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Gather walkie talkies at the end of each day and charge batteries.
  • Ensure all iPads are locked up at the end of the day.
  • Coordinator Monthly Parents Night Out.
  • Taking payments from the families.
  • Conducting tours for new staff.
  • Marketing
  • Post relevant content to the Spectacular Kids Facebook page.
  • Maintain blog posts from Supervisors and Assistant Supervisors to post on social media, the SpecKids website, and the monthly newsletter.
  • Create a distribute a monthly newsletter that encompasses upcoming Spectacular News, local resources, announcements for staff (i.e. new BCBAs or BCaBAs), and free community trainings.
  • Coordinate various resource fairs.
  • Maintain inventory of marketing supplies (i.e. brochures, business cards, giveaways).
  • Continuously price check marketing vendors for best price options for marketing materials.
  • Research ways to increase marketing for specific products.
  • Billing
  • Confirm payments in Central Reach.
  • Provide a weekly report of nonpayments to the Chief Executive Director, Clinical Director and Chief Financial Officer.

Skills and Abilities:


  • General knowledge of Microsoft Word, Excel, and PowerPoint.
  • Ability to multitask, maintain organization, and be extremely detail oriented.
  • Commitment to maintain client confidentiality.
  • Ability to follow up with clients and other staff in a timely manner.
  • Ability to navigate the internet as it relates to research for various products and needs of the clinic.
  • Ability to verbally communicate effectively with clients, vendors and various professionals in person as well as over the phone.
  • Ability to adjust to changes quickly.

Physical Requirements:


  • Must be able to lift a minimum of 50 pounds.
  • Must be able to sit for long periods of time.
  • Must be able to work on a computer for extended periods of time.

Education:


  • Minimum of an Associates Degree.

Pay:
$30, $35,000.00 per year
