This is a Stanford Health Care Tri-Valley job.

A Brief Overview

The Administrative Assistant performs administrative services for the department s/he is supporting.

Duties include, but not limited to providing administrative support to the Executive Director and/or Director in researching and completing work assignments, assisting with organizing events, and performing accounts payable functions.

What you will do

  • Regularly exercises discretion and independent judgment in performing administrative tasks to meet the needs of the Executive Director and/or Director.
  • Under general supervision, works on drafting correspondences, investigative reports.
  • Reviews precedent information regularly and consistently; correspondence reflects good judgment in portraying and following current policies and practices.
  • Creates and updates various reports for projects and committees, on an as needed basis.
  • Provide project and administrative support.
  • Assists with special assignments, events and tasks as assigned.
  • Accurately classifies, sorts, and files correspondence records and other documents, so that files are designed and maintained in a manner allowing for easy retrieval of information.
  • Maintains and orders office supplies.
  • Establishes, maintains, and revises recordkeeping and filing systems for department.
  • Prepares and distributes agendas for various committees, on an as needed basis.
  • Transcribes and distributes minutes of various committees; prepares, assembles and distributes material(s) for various meetings; assembles and prepares materials for reports and special questionnaires, on an as needed basis.
  • Maintains confidentiality of all materials.
  • Tracks budget(s), and processes reimbursements.
  • Provides resources to new employees, trainees, students or volunteers as needed.
  • Employee must perform all duties and responsibilities in accordance with the C-ICARE Standards of the Hospital. C-ICARE is the foundation of Stanford Healthcare

Education Qualifications

  • High School Diploma or GED Required
  • Associate's Degree or higher degree Preferred
Experience Qualifications

  • 2+ years to 3 years administrative experience Required
  • 1+ year to 2 years of health care related experience Preferred
Required Knowledge, Skills and Abilities

  • Typing at 65 wpm.
  • Strong computer skills, with experience in MS Word, Excel, Power Point and Database management.
  • Strong communication and interpersonal skills.
  • Strong attention to detail.
  • Strong ability to trouble shoot and solve problems.
  • Ability to complete work independently.
  • Knowledge of medical terminology.
  • Strong customer service skills.

Base Pay Scale:
Generally starting at $ $36.00 per hour


The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

This pay scale is not a promise of a particular wage.
