POSITION TITLE:
Front Desk Associate


STATUS:
Non-Exempt


REPORTS TO:
Support Staff Team Lead


DEPARTMENT NAME:
Clerical


PRIMARY PURPOSE AND FUNCTION:

To monitor the front desk, answer phones, greet visitors to the office, and maintain other office functions and to maintain the company's professional image in all interactions with the public.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:


  • Answer phone and direct calls to agents, bookkeepers, etc.
  • Open daily mail and distribute
  • Provide key management; locate and file keys for vendors, manage key tracking system
  • Set up new owner files, make address labels (Word)
  • Complete paperwork for clean & show's for Edison, Gas, Water and Trash
  • Assist bookkeepers with filing
  • Be familiar with Rent Manager software program. Use to assist with tenant questions, work order preparation, etc.
  • Update internal rental listing handout every Friday and when needed
  • Assist President with clerical duties as needed
  • Greet tenants, vendors and walkins on a daily basis
  • Record callin maintenance requests in Rent Manager
  • Call vendors in emergency situations and coordinate with oncall Maintenance person
  • Process all rent checks, cash etc. that are received at the front desk, write receipts and distribute to bookkeepers
  • Order office supplies
  • Fill postage meter, Stamp mail as needed
  • Oversee the maintenance of copiers and printers, order printer cartridges, call repairmen for office equipment when necessary, etc.
  • Close office per established closing procedure

KNOWLEDGE and SKILL:


  • Ability to demonstrate strong customer service tendencies
  • Demonstrated problem solving and people skills
  • High accuracy in work and attention to detail
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records
  • Proven oral and written skills
  • Knowledge of basic math and prorations

PHYSICAL DEMANDS:


  • Sitting for long periods of time
  • Frequent alpha/numeric keyboarding and ability to view computer monitor
  • Oral communication over phone and in person
  • Lifting up to 20 pounds

Job Type:

Pay:
$ $21.00 per hour


Schedule:

  • 4 hour shift
  • Monday to Friday
