This position will play a vital role in providing administrative **support to the Chief Executive Officer (CEO) of Metro MLS and will be responsible for enabling the smooth operation of the executive office, ensuring effective communication, managing schedules, and handling confidential information with the utmost discretion.

This role demands exceptional organizational and interpersonal skills, as well as the ability to prioritize and execute tasks efficiently.


ESSENTIAL JOB DUTIES:


  • Proactive calendaring within multiple time zones
  • Independently creates written communication and presentations from CEO verbal ideas
  • Provides comprehensive support services to the CEO that ensures a professional, responsive and effective experience with the internal and external organization as a whole.
  • Acts as the principle liaison between the CEO and the Board of Directors as well as the shareholder organizations and their executive officers.
  • Attend meetings of the Board of Directors and prepare minutes of those meetings for distribution. Prepares and distributes to the directors a package of advance reading materials for board meetings.
  • Assist the CEO in the management of his/her schedule, and handle calls from both internal and external sources to the office of the CEO.
  • Compile and maintain weekly and monthly statistical reports and assist the CEO with administration of the Board of Directors reporting requirements.
  • Attend Committee, and Task Force meetings, as assigned, to prepare minutes of those meetings.
  • Schedule and organize programs, events, meetings or conferences by coordinating schedules of participants, issuing advance information, sending invitations or meeting notices, distributing any collateral materials, and planning business meals.
  • Prepare and compose company sensitive correspondence, reports, and other complex documents for different Managers, Directors, and C-Level Officers. Proofread drafts of correspondence for correct grammar, punctuation, and spelling and make corrections.
  • Arrange travel plans and itineraries for the Managers, Directors and C-Level Officers and assist in the preparation of expense reports as needed.
  • Maintains current knowledge of major department/business unit functions and policies.
  • Assist Human Resource Department for projects as needed.
  • Performs other duties as assigned.

QUALIFICATIONS REQUIRED:


  • Bachelor Degree or 10 (Ten) years of relevant experience and/or training, or equivalent combination of education and work experience.
  • Ability to maintain absolute confidentiality of sensitive information.
  • Must be able to interact and communicate with individuals at all levels of the organization, both internal and external.
  • Ability to organize and prioritize workload.
  • Excellent verbal and written communication skills.
  • Ability to work independently on assigned tasks.
  • Able to work collectively with all Departments within the organization.
  • Microsoft Office Suite Skills, SharePoint, Salesforce and Teams. 5 years (required)
  • Current executive administrative support: 5 years (required)
  • Valid driver's license with reliable transportation (required)

QUALIFICATIONS PREFERRED:


  • Bachelor's degree in business administration, communications, journalism.
  • Real estate experience a plus.

Pay:
$55, $70,000.00 per year
