$53,018 - $67,597

The Warranty Administrator is responsible for the effective execution of all maintenance warranty activities within the operational maintenance department. He/she is responsible for the tracking and execution of all warranty including equipment, materials, disposal, and claims. This position is responsible for development and maintenance of asset records in the Enterprise Asset Management (EAM) System. This position will also act as Contract Manager for various contract that support operations.

In performance of his/her responsibilities, the Warranty and Assets Administrator supports timely service to maintenance and operations.

It is vital that this position provide open and detailed communications to the various maintenance departments on the creation and maintenance of asset records and warranty status of rolling stock, equipment, and sub systems of equipment.

Warranty- This position requires comprehensive knowledge of the warranty status for each piece of rolling stock and shop maintenance equipment. This includes transit buses, trollies, light rail vehicles, Paratransit vehicles, ferry boats, and all shop equipment that supports the maintenance functions of the various maintenance departments. He/she will review the daily fleet maintenance reports, fleet Status reports, along with the repair work orders in the Maintenance Management System (SPEAR). He/she will identify equipment that should be repaired under warranty and submit claims for reimbursement. All failed parts and materials shall be collected and returned to the original vender if requested. Any part removed from HRT inventory that is used to make a warranty repair shall be tracked to ensure that proper warranty claim is issued, and reimbursement is received.

Assets - Responsible for managing, recording, assessing, and tracking the agency's assets throughout their life cycle, from acquisition through final disposition.

Tools - Manages the distribution of tools to the work force. Responsible for the upkeep and annual reconciliation of Bus Maintenance's physical tool inventory. Acts as PM for tool voucher contract ensuring that all Union hourly employees order and receive their tools where applicable.

Calibration - Ensures that equipment and tools are properly calibrated per manufacturer

  • Position could be assigned to act as PM for any calibration work done under a contract.

Asset Disposal - This position will process paperwork and arrange for disposal of HRT assets that have reached their useful life or are no longer required. This shall include inactive rolling stock, shop equipment, tools, and parts. Requires close coordination with the finance department to ensure all FTA guidelines and procedures are followed.

Accident Claims - This position shall track each and all claims for any damage done to HRT equipment including all rolling stock. He/she will ensure that each department in HRT gets required paperwork and ensures that maintenance department receives all applicable compensation for damage done by a third party. This will require working closely with the HRT risk department.

Fuel - He/she will act as PM for the delivery of fuel for HRT Rolling Stock. He/she will ensure that fuel meets all required specification and that fuel tanks are properly monitored.

KPl's - Measure, track and monitor any assigned KPJ's (Key Performance Indicators).

  • Manage records created and received in compliance with the Hampton Roads Transit Records Management Policies and Procedures.

Other Duties - Perform other duties as may be assigned by higher authority.


Required Knowledge, Abilities and Skills essential to Job Functions:
Easy to contact, communicate and work with. Exhibits a sense of urgency when necessary. Good oral and written communication skills. Ability to issue and explain instructions. Ability to support other departments. Working knowledge of computer systems and EAM's input, retrieval, and use. Good planning and organizational skills.

Understanding of the proper use of Work Orders, priorities, and schedules Ability to work in a team environment, fully supporting the goals and objectives of the maintenance and rail operations efforts.

Ability to operate material handling equipment.


Required Software Knowledge and Skills essential to Job Functions:
MS Windows, MS IE, MS Office (Word, Excel, Access, Power Point, Outlook), Agency ERP and EAM.
