Job Summary and Qualifications:


  • Serves as an administrative assistant to officer team and other administrators/directors as assigned.
  • Provides support to boards and committees as needed.
  • Completes daily timekeeping and invoice approval.
  • Utilizes computer to complete correspondence and documents for all responsible areas, takes minutes as needed at assigned meetings (i.e. Board, Ethics and Compliance, Directors meeting etc). Organizes work to complete duties effectively and efficiently.
  • Organizes and set up for meetings (including WebEx support, etc) and other functions. Assists other HCA committees and groups for on-site meeting functions as necessary, including event coordination.
  • Maintains departmental records, files and charts to meet regulatory standards and hospital policy.
  • Coordinates, collects, and audits data as well as prepares daily/monthly reports as requested.
  • Assists fellow Executive Assistant, patients, visitors, other departments, co-workers and physicians as necessary; exhibits excellent customer relations; shows courtesy, compassion and respect.
  • Communicates effectively with hospital staff members, other hospital Administrative staffs, Directors and Physicians.
  • Maintains calendars, growth link tracking, sets appointments and coordinates travel arrangements for Senior Executives and other Administrators as needed. Completes expense reports for Senior Executives.
  • Able to handle additional work load in absence of other administrative secretarial staff.
  • Work with officers on coordinating and tracking contracts as needed to include associated contract payments.
  • Should be proficient in Microsoft PowerPoint and assist with presentations as needed as well.
  • Assist with mail, ordering office supplies, catering orders, ordering bus or train tickets as needed.
  • Maintain Phone lists, Org Charts, Call Schedules, etc. as needed.
  • Assist with newsletter as needed.
  • Able to assist with other functions and tasks as needed and provide back up for volunteer and shadowing opportunities.

What qualifications you will need:


EXPERIENCE
Required - Previous experience as secretary with computer and word processing skills.

Preferred - Medical secretary with computer skills.


EDUCATION
Required - High school graduate or GED equivalent.

Preferred - Graduate secretarial school with medical terminology and computer course.
