Purpose Statement
The job of Clerical Support II / Guidance Clerk is done for the purpose/s of providing clerical support to the

  • Guidance department; communicating information to students, parents, staff, and/or other districts;
- maintaining student information and files; and providing information and/or direction as may be
- requested.


Functions
Assists in the preparation of a wide variety of fiscal and statistical reports for the purpose of conveying
- information, ensuring compliance and/or achieving program objectives.

  • Assists other personnel for the purpose of supporting them in the completion of their work activities.
  • Maintains records and/or files for the purpose of ensuring an uptodate reference and audit trail for
- compliance.

  • Prepares written materials (e.g. correspondence, memos, schedules, etc.) for the purpose of conveying
- information, documenting activities, and/or ensuring compliance.

  • Processes documents and materials for the purpose of disseminating information to appropriate parties
- and/or ensuring accuracy of data.

  • Responds to inquiries of staff, the public, parents and/or students (e.g. scheduling appointments,
- providing information on school policies and procedures, etc.) for the purpose of providing information
- and/or direction as may be required.

  • Schedules appointments for the purpose of ensuring that program objectives are achieved in an
- efficient manner.

  • Supports assigned administrative personnel for the purpose of providing assistance with their
- administrative functions.

Skills, Knowledge and Abilities
SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills
- in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions- preparing and maintaining accurate records.

  • KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or
- ratios; read a variety of manuals, write documents following prescribed formats, and/or present
- information to others; and understand complex, multi-step written and oral instructions. Specific
- knowledge required to satisfactorily perform the functions of the job includes: business telephone
- etiquette; common office machines and software; and office methods and practices

  • ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify
- data; and use basic, job-related equipment. Flexibility is required to independently work with others in
- a wide variety of circumstances; analyze data utilizing defined but different processes; and operate
- equipment using defined methods. Ability is also required to work with a diversity of individuals and/or
- groups; work with a variety of data; and utilize specific, job-related equipment. In working with others,
- problem solving is required to identify issues and create action plans. Problem solving with data
- requires independent interpretation of guidelines; and problem solving with equipment is limited.

  • Specific abilities required to satisfactorily perform the functions of the job include: communicating with
- diverse groups; meeting deadlines and schedules; working with detailed information/data; working as
- part of a team.

Working Environment
The usual and customary methods of performing the job's functions require the following physical
- demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or
- crawling; and significant fine finger dexterity. Generally the job requires 70% sitting, 10% walking, and

  • 20% standing. The job is performed under some hazardous conditions.
