Responsibilities:


_ Harbor Point Behavioral Health Center_ offers intensive residential treatment services within a secure setting. Our programs are designed to meet the needs of youth ages 7- 17 who are experiencing emotional, psychiatric and educational difficulties. In addition to our general psychiatric programs, we also offer specialty programs for youth with more serious challenges. Harbor Point and its programs are fully accredited by The Joint Commission and the Virginia Association of Independent Specialized Educational Facilities. We are licensed by The Virginia Department of Behavioral Health and Developmental Services and the Virginia Department of Education. We are a TRICARE-approved and certified facility.


Position Scope:

The Unit Secretary supports activities in the unit by performing non-nursing functions and clerical duties to include monitoring and maintaining the patient's medical record.

Performs other duties as assigned.


Essential Functions:


  • Provides clerical and secretarial assistance for the DON, unit staff and clinicians, demonstrating competency in skills and knowledge pertinent to the function of the position.
  • The Unit Secretary shall support the functions of the Units assigned by maintaining the inhouse medical record.
  • The Unit Secretary shall support patient care and treatment by coordinating physician orders.
  • The Unit Secretary shall demonstrate competency of skills and knowledge related to the support for clinical operations.
  • The Unit Secretary shall reflect behavior, attitude, and appearance appropriate to the position and in support of Hospital and Departmental philosophy, goals, and objectives.
  • Reproduces, collates, sorts and staples materials and documents requested by unit coordinators and physicians.
  • Maintains supply inventory at proper level by regularly checking, ordering, and distributing medical and nonmedical supplies.
  • Acts as primary receptionist for building by answering phones, taking messages, greeting visitors, notifying staff regarding meetings, physician orders.
  • Picks up and delivers units' mail. Ensures mailboxes are available on unit for all assigned core staff.
  • Maintains patient label file. Prepares medical record for new admissions prior to admission, and preparation of labels within 24 hours of admission.
  • Ensures charts are properly labeled and have adequate forms; and files reports and forms such as Xray, and evaluations and progress notes according to established chart order.
  • Stamps, dates, sorts and files treatment records into patient charts at least once per day.
  • Files notes daily, after physician signs notes.
  • Picks up and distributes treatment plans to unit.
  • Processes medical records for discharged patient, ensuring chart is turned over to Medical Records within 24 hours after discharge of patients.
  • Schedules diagnostic tests and physicians/dental consultations in accordance to procedure and follows up to ensure results are posted in chart as received.
  • Processes laboratory requests and prepares specimens for pickup.
  • Assists Nursing Directors/CNO with clerical needs.

Qualifications:

Licensure/Certification/Registration:


  • HWC, CPR and First Aid Required

Education/Experience:


  • High school education required.
  • Bachelor's minimum or a certificate from a trade school in nursing would be more appropriate with the need to have familiarity with medical terminology
  • Secretarial or clerical training in a hospital setting preferred.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to stand, sit, walk, climb or balance and stoop, kneel, talk, and hear; use hands to finger, handle or feel; and reach with hands and arms.

The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.

Specific vision abilities required by this job include close, distant, and peripheral vision, color and depth perception, and ability to adjust focus.


General Requirements:


  • Must be at least 21 years of age per Commonwealth of Virginia Department of Behavioral Health & Developmental Services.
  • Must have patience, tact, and a cheerful disposition and enthusiasm.
  • Good communication skills; must be able to read, write, speak, and understand the English language.
  • Basic clerical skills, basic experience with office equipment (telephone, copy machine, fax, etc.)
  • Experience with Microsoft Office Software (Word, Excel, PowerPoint, Outlook, etc.)
  • Ability to understand and carry out oral and written instructions.
  • Ability to problem solve and accept feedback when circumstances warrant such actions.
  • Willingness to interact with patients with varying levels of cognitive functioning.
  • Requires secretarial skills, organizational ability and verbal communicative skills; some knowledge of medical terminology.
