DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
The Houston Public Library is seeking a highly skilled Administrative Specialist to join the Customer Experience Administration Team.

The person in this position will be responsible for performing varied professional administrative functions in the daily operations, including assisting with processing financial documents and contracts, liaising with other City departments and partners, supporting projects, and internal and external communications.

The essential duties and functions of the position include but are not limited to the following:

  • Essential job duties and responsibilities include:
  • Routing documents for signatures and approvals via DocuSign.
  • Provide administrative support in the areas of financial management to include purchase requests, invoice submission, expense tracking and reporting in coordination with the financial services team.
  • Administrative support for vendor/ partner relations to include drafting of contracts, agreements, documentation reviews and followthrough.
  • Responding to written and telephone inquiries, requests, and complaints from the general public.
  • Possessing outstanding organizational and communication skills to perform ongoing and specialized tasks.
  • Compiling data for reports, calendars, surveys, inventories, studies, and statistics using Microsoft Office and other software.
  • Participates in special projects as assigned.

WORKING CONDITIONS
Position requires stooping and bending, lifting of library materials up to 20 pounds or an equivalent weight. Must be able to move freely throughout the library to file/retrieve library materials. Must be able to effectively communicate orally and in writing.


MINIMUM REQUIREMENTS:


EDUCATIONAL REQUIREMENTS
Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.


EXPERIENCE REQUIREMENTS
Three (3) years of administrative experience are required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

  • Proven professional administrative experience
  • Advanced technical skills in MS Office
