Exciting opportunity ahead As the first level of senior administration, this job independently provides a broad range of basic to complex level administrative and/or specialized support services to the Vice President, Engineering & Asset Management.


This includes, but is not limited to:
Logistical support (manage calendar, travel arrangements, meetings, coordination of meeting needs facilities and catering). Timely clearing and reconciling of expense reports, updating headcount; provide assistance of Engineering and Asset Management's office requirements. Creation and disposition of PO's and invoices for over $20MM in Operating expenses. Review and distribute incoming mail addressed to VP to the correct group under his organization.

Broadly defined generalist administrative duties in back up support of the 2 other administrative assistants in Vice President's organization as needed.

Onboarding, including IT set up and office location set up, of new employees. Additional responsibilities may be assigned as needed.


What you will do:

  • Make readily available any meeting documentation required as preread
  • Act as back up administrative assistant to other Engineering and Asset Management departments, creating POs, invoices and office requirements as needed.
  • Coordinating complicated meetings, registration for conferences and functions
  • Coordinating, monitoring and adjusting travel reservations
  • Coordination of Town Hall Meetings including scheduling in calendar, scheduling of conference rooms, order catering as needed, set up of conference rooms, upload presentation, connection of audio and visual of presentation, arranging of microphones to function properly with speakers in the conference rooms.
  • Develop basic understanding of Engineering & Asset Management technical data platforms, workflows and how to identify issues through resolution.
  • Responsible for submitting requests for computer problems, facility service needs, etc.
  • Recognize and work with confidential information in a professional manner, including such areas as Human Resources matters, company and financial matters.
  • Prioritize, organize and coordinate work effectively in a proactive and resourceful manner.

You have:

  • Administrative experience, e.g., spreadsheet/database management, accounting and business math, business communications.
  • 5 years of directly related experience.

You can:

  • Demonstrate the ability to manage relationships at all levels of the enterprise, including direct or indirect supervision of staff and/or contractors.
  • Demonstrate a high level of discretion, tact and diplomacy in dealing with senior level internal and external contacts, and highly confidential or sensitive information.

You are:

  • Someone with advanced knowledge of Microsoft Office Suite of tools, applicable software, company databases, enterprise structure and standard operating procedures.

  • Extensive computer usage.

Physical Requirements include but are not limited to:

Grasping, kneeling, light - moderate lifting (objects up to 20 pounds), reaching above shoulder, repetitive motion, typing, sitting, standing, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement and the ability to sit at a computer for long periods of time.

May require bending, lifting of office equipment, files, etc.
