The Position:
The Litigation Secretary will do the following:
- Prepare for filing with court a variety of pleadings and legal documents from copy, forms, or oral instructions, incorporating information from other sources as necessary.
- Compose and prepare correspondence, reports, legal papers, pleadings and other documents with accuracy from oral or written instructions, or brief notes.
- Maintain calendars to ensure that judicial and other adjudicatory deadlines are met.
- Arrange and schedule appearances, hearings, and meetings, including litigationrelated meetings.
- Respond to inquiries from the public or EBMUD personnel with appropriate judgment, discretion, and professional courtesy.
- Obtain and relay factual information from other EBMUD offices, courts, agencies and law firms to litigators related to matters at issue in litigation.
- Maintain records and logs required to manage large volumes of documents involved in litigation; maintain files of electronic and paper documents and records relating to inactive or closed litigation.
- Organize documents in preparation for discovery responses and requests for preparation of an administrative record.
- Research and obtain necessary information and reference materials from court personnel, law library, and computer databases; check citations; keep up to date with rules of court for all forums in which EBMUD may appear.
- Perform other related duties and responsibilities as required.
Working knowledge of:
- Legal terminology and form, phraseology, correct English usage, and typical legal office operations and practices, rules of civil procedure, rules of court, and other applicable procedural rules for state and federal courts and administrative forums.
- Standard office practices including filing, indexing, and office equipment operation.
Skill in:
- Keyboard entry at a rate of 50 words per minute on a personal computer from printed copy and
- Composing routine pleadings and discovery and other legal documents and correspondence from brief oral or written instructions.
- Managing and tracking large volumes of documents, using legal document management software when needed with mínimal training.
Ability to:
- Work independently.
- Work effectively on a number of cases and tasks at one time maintaining attention to relative priority and significance despite frequent interruptions.
- Complete work under pressure and time deadlines.
- Establish and maintain effective working relationships with other EBMUD and court personnel, the public including witnesses, and staff for opposing counsel.
- Operate a variety of standard office equipment used in a modern law office.
- Read materials in print and on the computer; communicate in person, on the telephone, through electronic means, and in writing; physical capacity to sit or stand for prolonged periods of time.
The salary range is $9,436 per month increasing to $9,908, $10,403, and $10,923 after 6, 18, and 30 months, respectively.
Requirements:
Typical means of acquiring this knowledge and these skills and abilities required to assume the full range of duties of this position include:
- Completion of the 12th grade or its equivalent.
- Two years of journey level legal secretarial experience working with litigation.
- Physical characteristics to perform the critical and important duties of the job.
- Willingness to work overtime as needed.
The Selection Process:
- The probation period for this position is 12 months. For those holding civil service status the probation period is 6 months.
- All employment offers are conditional, pending the results of a Live Scan background screening. All selected finalists must participate in the Live Scan background screening process to remain in consideration for EBMUD employment.
