The role
you'll contribute:

This position represents the first contact a client company or patient have with Administration. Monitors and answers multiple phone lines. Assists in scheduling appointments for Executives in Administration and Director. Handles requests from visitors, physicians, Administration Executives and Director.

Oversight of the Administration Lobby to include monitoring of visitors, staff, and physician access to appointments scheduled on Executives calendars and conference rooms, facilitating timely access to scheduled appointments.

Provides customer service to visitors, physicians, all those entering Administration Lobby.


The value

  • Provides first line of contact and back up to all front office duties with customer services to the visitor, staff member, physician and Executive in scheduled and impromptu appointments.
  • Sets up office for daily operation by turning on computers, retrieving voice messages, checking office supplies and availability of water/snacks in the office and Administration conference rooms and Boardroom.
  • Answers multiple line phone and takes messages; communicates to the appropriate person in a timely manner daily.
  • Prepares daily calendar for meetings.
  • Prepares charts, graphs, mailings, labels, letters, envelopes in Microsoft Office programs; makes copies, scanning, and faxing, when required.

Qualifications:


The
expertise and experiences you'll need to succeed:

  • High school Graduate or Equivalent.
  • At least 3 years in a secretarial or customer service driven setting.
  • Basic knowledge of medical terminology.
