Navy, VA Executive Assistant

Purpose & Overall Relevance for the Organization:


As an Executive Assistant for the Navy, VA, you will provide high-level administrative support to the (Senior) Vice President and their department.

Your role is crucial in ensuring the efficient management and daily operations of the function.


Key Responsibilities:

  • Independently handle all correspondence in a timely and accurate manner
  • Format, type, and edit various materials, including correspondence, memos, minutes, reports, and confidential documents
  • Maintain and update department files, records, organizational charts, subscriptions, and publications
  • Create announcements, newsletters, and presentations
  • Schedule internal and external meetings and conferences
  • Coordinate and arrange all travel arrangements for team members, including flights, hotels, visas, car reservations, and airport pickup
  • Prepare and submit travel expense reports
  • Manage the department's global cost center, including monitoring budgets and approving invoices for correct accounting transactions
  • Serve as the key contact for information management, ensuring the intranet content is uptodate
  • Proactively and independently handle special projects and assignments
  • Assist and coordinate projects and assignments as directed
  • Take on administrative and coordinative tasks for department members as needed
  • Handle assigned operational tasks for the department under supervision
  • Identify and correct any problems in existing systems and processes
  • Oversee the training of interns and temporary employees within the department
  • Support the team and management with general tasks, such as ordering office supplies
