Essential Job Functions:

  • Monitors, maintains and identifies work standards that lead to improved operational performance.
  • Schedules and coordinates meetings and prepares documents for management, transportation and union staff meetings, records meeting
  • Maintains administrative, financial and light rail vehicle operator personnel files, including payroll.
  • Assists in the development and maintenance of procedures, forms and work measurements.
  • Adheres to established policies, objectives and time sensitive tasks and schedules.
  • Writes and/or edits information contained in manuals and forms used to clarify operational policies and
  • Organizes, authors, and presents oral and written reports used by department heads as the basis for day to day decision making.
  • Organizes and verifies the accuracy of payroll information via HASTUS on behalf of bargaining unit employees including any disciplinary action taken.
  • Tracks and monitors operator vacation, sick and personal leave hours.
  • Validate data and export biweekly file from HASTUS for PeopleSoft HCM interface.
  • Responds to employee's inquiries regarding their paychecks, leave balances, deductions, and other payroll related matters.
  • Responsible for use and reconciliation of company purchase card.
  • Coordinates and creates the justification and annual budget request.
  • Monitors and audits the department's monthly budget expenditures for accuracy of posting and adjustments.
  • Responsible for coordinating and creating monthly transportation department's KPI presentations.
  • Tracks and calculates over/under mileage and hours for agency National Transit Database reporting.
  • Responsible for light rail incident and accident reporting.
  • Responsible for assisting the Paratransit Services Contract Administrator with verifying accuracy of monthly billing statements.
  • Responsible for supporting nonTransportation Operations divisions (e.g. Security Department) with workorder processing such as ID Badge Issuance and Assignment, Parking Permit and Employee Vehicle Registrations.
  • Tracks, monitors and administers security incident report documents and related record keeping efforts.
  • Assist with travel and meeting planning both internally and externally; responsible for registration, booking hotels, obtaining perdiem, collecting all receipts in order to close out the travel request and prepares travel expense form and submit to finance department.
  • Assist with special projects.
  • Orders, tracks, monitors, maintains the Operations department's monthly supplies; reconciles and codes monthly invoices for submission to finance for payment; creates and submits monthly supplies summary to management for review; creates requisitions for bulk items that are over maximum limits.
  • Reconcile, code and track light rail uniform invoices and submission of invoices to Finance for payment processing.
  • Responsible for coordinating, organizing and set up of transportation's special events.
  • Attends department and agency meetings as required.
  • Employs sound research methods and techniques that support conclusions drawn from careful and thorough analysis.
  • Demonstrates a conscientious effort to improve operational efficiency by decreasing turnaround times, streamlining work processes, and working cooperatively and jointly with colleagues.
  • Manage records created and received in compliance with the Hampton Roads Transit Records Management Policy and Procedures.
  • Responsible for maintaining a general awareness of HRT's EMS.
  • Responsible for handling all related job responsibilities in compliance with HRT's Environmental Policy, relevant EMS Standard Operating Procedures, and HRT's Emergency Management Plan.
  • Coordinates and manages records related HRT's Drug and Alcohol Policy.
  • All other duties as assigned.
