About the Role


Manage all administrative and organizational logistics for the Music Director, all guest soloists and conductors, assistant conductors, artists' managers, and composers at Symphony Hall (during subscription and Pops' seasons) and at Tanglewood.

Develop and manage seasonal budgets for artists' travel, accommodation, and social events. Secure cost-effective travel and accommodation for artists and help seek sponsorship for this.

Coordinate and process all payments and reimbursements for artists and any additional BSO guests, ensuring that all tax requirements are observed.

Obtain and circulate rehearsal orders and other performance-related details from Music Director, guest conductors, soloists, and corresponding BSO departments. Arrange the day-to-day schedule of BSO drivers/valets and disseminate to the HR department during the Symphony season. Supervise supplementary staff at Symphony Hall and Tanglewood, including a full time Artist Liaison.


Job Responsibilities- Develop and maintain the day-to-day schedule of the Music Director, in collaboration with other BSO departments and MD's management.- Assist Music Director with day-to-day business and personal matters, including the management of Boston and Tanglewood rental properties.- Develop, implement, and manage seasonal budgets for artists' travel and accommodation.

Provide budget estimates to the Vice President of Artistic Planning for the purposes of forward planning.- Seek out the most cost-effective options for artists' travel and accommodation for the Symphony Hall, Pops and Tanglewood seasons.

Develop and manage systems to ensure the timely confirmation of these arrangements, including but not limited to rental properties, hotels, rental cars, etc.- Monitor changes in contractual patterns in the entertainment field and recommend appropriate changes.- Work with relevant Boston and Tanglewood Development staff to obtain hotel, airline and event (food) sponsorships, and in-kind donations.- Develop and implement systems to monitor, record and manage the usage of in-kind donated services.

Coordinate these usages with relevant BSO departments, particularly the Pops, Tanglewood Music Center, and Tanglewood Learning Institute.- Organize and manage distribution of all travel, hotel and driving schedules for Music Director, Pops conductor, and all guest conductors, guest soloists, and visiting composers throughout the Symphony Hall (including Pops) and Tanglewood seasons.- Manage and supervise the BSO's Artist Liaison, who will assist during the Symphony Hall and Pops subscription seasons and at Tanglewood and to whom the Manager of Artist Services will delegate duties as appropriate and necessary.- Manage and supervise the BSO drivers/valets during the Symphony Hall and Tanglewood Seasons, including any additional seasonal or occasional drivers.

This includes determining driving and pick-up schedules, and approval of work hours.- Coordinate artists' security needs at Symphony Hall and Tanglewood with relevant Boston and Tanglewood staff/security and artists' management.- Consult with Vice President of Artistic Planning, Music Director, Pops conductor, and guest conductors for rehearsal orders and other rehearsal/concert-related matters as necessary, for scheduling of orchestra and soloists.- Draft and communicate all scheduling of rehearsal and concert times for Music Director, Pops conductor, guest soloists, guest conductors, visiting composers, and additional BSO guests either directly or through their management.- Ensure that each guest artist has assistance of any kind with business or personal matters as needed (e.g., doctors' appointments, banking, beauty appointments, etc.) and be on-call throughout their Symphony Hall and/or Tanglewood engagement.- Oversee the processing of payments of fees to Music Director, Pops conductor, and guest artists, including the processing, coding and tracking all bills relating to artist expenses and reimbursements.

Banking duties as necessary. Develop systems to track expenses.- Maintain up-to-date knowledge of tax treaties with foreign countries for payments to foreign artists.
