***:Office Manager is responsible for leading the office associates in increasing excellent customer service and promoting growth in revenue. This position is also responsible for creating consistency and unity within the patient services department, and act as a liaison within the departments of QCHC in the transmitting of information and communication. The Office manager manages the timely production of patient flow, daily responsibilities of the office associates, and promotes staff training.


ESSENTIAL FUNCTIONS

  • Monitor the booking of providers schedules
  • Oversee the daily operations of Lehigh & Dental Office Associates
  • Assist in set up & explain patient payments plans
  • Sign patients with no insurance and/or mínimal insurance w/ sliding fee
  • Assist with coordinating referrals & Prescriptions
  • Prepare & Discuss training material with coworkers & patients
  • Monitor patient flow
  • Explain & collect fees for services
  • Review the daily collections of OA by ins & encounter forms
  • Randomly check OA cash banks
  • Handle & Resolve patient complaints
  • Perform daily check & report the cleanliness of the building
  • Prepare Performance reviews of all supervised employees
  • Draft and implement policies and procedures as needed
  • Conduct periodic training sessions, using the database, via facetoface sessions and/or online training. Update training documentation as needed
  • Arrange adequate coverage for office associates, as needed/when necessary

KNOWLEDGE, SKILLS AND ABILITIES:


  • Knowledge of the general operations of a clinic or similar healthcare environment.
  • Skill in performing office administration related activities.
  • Skill in performing medical front desk activities including overseeing the patient registration process.
  • Skill in enforcing rules and regulations in difficult situations and maintaining the confidentiality of patient records and organizational information.
  • Skill in verbal and written communication and problem solving.
  • Skill in being organized and maintaining cohesive records.
  • Ability to understand medical insurance and collect the required copay, or cash amount.
  • Ability to demonstrate excellent customer interaction, collaboration, presentation, written and verbal communication skills.
  • Ability to work effectively under pressure and as part of a team.
  • Ability to work in a fastpaced environment and manage and prioritize multiple, often competing, priorities.
  • Ability to adhere to all time and attendance rules and requirements.
  • Ability to comply with all QCHC rules and regulations.

EDUCATION:


  • High School Diploma or equivalent from an accredited school.
  • Associate degree in the field of medical office management or related field preferred.

EXPERIENCE

  • Two (2) years of experience as an Office Manager in a medium to large size medical setting.
  • Two (2) years of experience as a supervisor in a medical office setting; and experience overseeing the patient registration process.
  • Two (2) years of experience working with Medicaid, and various other insurance carriers to verify coverage, enroll participants, and collect deductibles, cash payments and copays.
  • Two (2) years of experience using Microsoft Office; specifically, Outlook and Word; Excel is preferred.
  • Experience using an EHS preferred.
  • Experience using Athena EHS preferred.
