Position Title and Summary
- The
Office Assistant is responsible for helping the organization with running of the daily administrative operations of the company.
Reports To
- Executive Assistant
Responsibilities
- Maintain presence at the front desk
- Answer incoming phone calls and screen sales calls
- Train with CSR; assist with customer needs
- Schedule pickups
- Buzz/ Answer the front door for guests; notify the correct person they have arrived
- Postal Mail: sort and deliver all incoming mail to the correct department/ person
- Create FedEx packages, as requested
- Inter-
Office Mail:
Assist with handing out packages/ envelopes to the appropriate person
- Make sure the front is clear of clutter (packages/ mail not sitting there for periods of time)
- Inform the shop/maintenance/ janitor when boxes arrive
- Reserve conference rooms/ send a bridge, if needed
- Make sure conference room fridges are stocked and faced
- Inform Executive Assistant/Janitor/Facilities Manager if water (bottled and distilled, pop, Perrier, etc. are low)
- Assist employees with getting office supplies from the supply cabinet (pens, Post its, etc.)
- Inform Executive Assistant of any special requests
- Screen Sales calls/ solicitors
- Assist with our Events department when needed
- Report any areas that are needed cleaning, messy area
- Bilingual English/Spanish, a plus
- Job hours are Monday-Friday, 8:30am4:30pm
Qualifications / Knowledge / Critical Skills
- High School Diploma, GED
- Previous office experience/receptionist experience is a plus
- Ability to work independently and as part of a team
- Experience with Microsoft Office Suite (Word, Excel), Outlook, Power Point and Publisher
Physical Demands / Environmental Factors
- Ability to lift and carry objects weighing from 15 to 25 pounds
- Ability to work occasionally in poor weather conditions, including heat, cold, rain, or snow
