Job Summary:


The DLR Operations Associate Coordinator provides operations salaried leadership with a variety of administrative support, thereby allowing leaders to spend more time out in their respective areas with their Cast Members and Guests.


In this role, you will coordinate administrative, clerical and project management support for Senior/Production Managers, their direct reports and Cast.


Responsibilities:


  • Meeting coordination: schedules complex meetings, prepares agendas to support business needs/objectives, captures and tracks action items/deliverables, completes followup as necessary with leaders/key partners to drive work to completion. (e.g. roll calls, round tables, weekly team meetings, partner meetings, other business meetings, etc.).
  • Optimize scheduling of commitments on leaders' calendar (be familiar with leaders' schedule(s) and adjust as needed to meet daily/weekly priorities).
  • Managing adhoc projects or reports requested/assigned by the supported operation leaders.
  • Process/manage team's purchase orders, vendor contracts as well as leadership's expense reports.
  • Prepares regular/weekly reports and business summaries for multiple (35) Production Managers. May include support of the General Manager (e.g. weekly update reports that go to Sr. site Executives as well as other weekly operational reports used by leadership.)
  • Deliver paperwork and materials between offices and operations areas/teams.
  • Handles confidential information responsibly and with integrity daily.
  • Exceptional relationship skills, anticipates the needs of the whole area/team.
  • Superior time management skills needed to prioritize workload and complete work efficiently.
  • Manages/tracks team and Cast Member information to assist with Cast/Leader checkins.
  • Supports all stages of project lifecycle including: Initiation, Planning, Execution, Control and Closure.
  • Ability to manage multiple projects/events simultaneously.
  • Partner with the Coordinator role, assisting with any backup administrative or project support.
  • Orchestrates communication and stakeholder engagement for projects to ensure individuals have the information required to complete deliverables.
  • Proactively keeps projects on schedule and communicates when timelines have been altered, moved ahead or fallen behind
  • Represent project team in meetings/onsite walks as necessary.
  • Uses problem solving skills to remove barriers, improvise when necessary and ensure project success.
  • Prepares and analyzes data. Conducts tracking as needed to support data collection/research
  • Prepares documents, agendas, reports, and executive summaries that support meeting objectives.
  • Completes research and prepares materials for presentations, which may include use of digital/technology solutions for visual presentations.
  • Executes events (e.g. birthdays, service anniversary recognition, lunch & learns, team building activities, etc.).
  • Support Cast Member needs in line with the leadership team.
  • Ability to selfeducate and seek out resources to advance the business and foster growth (learning new computer systems, software, technology, presentation skills, financial acumen, etc )
  • Review operating practices and implement improvements where necessary.
  • Engaging and connecting with peer group to support the entire coordinator team.

Basic Qualifications:

  • Demonstrate ability to multitask and deliver quality, timely work within tight deadlines.
  • Ability to interface with other Executives and their assistants.
  • Strong administration, time management, organizational and planning skills.
  • Able to be proactive, resourceful, and partner with supporting areas and clients.
  • Strong verbal, written, and listening communication skills.
  • Enjoys working in a team environment.
  • Flexible in adapting to demands of an everchanging, fastpaced environment; able to identify challenges, make decisions and implement solutions without supervision.
  • Proficiency with Microsoft Programs.
  • Integration: Works as part of team to work better, faster, and smarter. Remains flexible in fast paced environment. Seeks out key partners/team members to identify best practices. Works with others to identify and drive efficiencies.

Preferred Qualifications:

  • Knowledge of Disney policies, organizational structure, and nomenclature.
  • Second Language.

Required Education:

  • High school degree, GED or equivalent experience.

Preferred Education:

  • College degree preferred.
