POSITION PROFILE:

Plan, organize and coordinate functions and guest rooms for assigned group accounts.

Work with the meeting planner to ensure a successful event by obtaining rooming lists, establishing billing, overseeing group room blocks, overseeing amenity requests, handling on site event logistics, and coordinating outside vendors.


ESSENTIAL JOB FUNCTION:


  • Write resumes for each group giving the hotel's departments an overview and schedule of the conference and its objective, details of the meeting agenda, AV requirements, VIP's billing arrangements and amenity requests.
  • Plan, upsell and coordinate function details with clients to include but not limited to group room blocks, space requirements, meeting times, equipment, entertainment, menus, billing, etc.
  • Create and execute accurate banquet event orders that include detailed information on the agenda, menu items, room set up and billing arrangements.
  • Create and distribute effective internal and external communication (written and verbal). Exhibit a positive and involved team attitude to all hotel departments and maintain open communications with all guests, vendors and staff members for the best overall performance of the hotel.
  • Meet the client upon arrival and conduct preconference reviews, including the introduction of Department Heads, overview of events, and guest arrival details.
  • Communicate last minute changes in group functions to hotel staff, and ensure accurate and satisfactory followup.
  • Conduct post conference review with clients including the presentation of banquet checks when applicable.
  • Review all bills that are sent to the client, ensuring they are accurate and timely in order to maximize return business. Compile any cancellation/attrition charges for the group.
  • Maintain welldocumented, accurate, organized and uptodate Delphi client information in order to serve client and employer in the most expedient, organized, and knowledgeable manner.
