In this fast paced, high energy environment how do we keep our Facilities department running smoothly? As a Facilities Coordinator, you will assist the team by performing administrative and clerical responsibilities for the Facilities department.

Principal Duties and Responsibilities (Essential Functions)

  • Carry out administrative and clerical functions required by the department including but not limited to written and telephone communication to internal and external contacts; prioritizing incoming mail; relaying messages; filing of pertinent records and contracts; answering incoming telephone calls; typing correspondence using Microsoft Word and Outlook; and distributing reports for all areas within the Facilities department.
  • Read and track all incoming documents, requests for projects, and work orders and determine their significance. Update departmental records and databases and respond to appropriate parties in a timely and professional manner. Track and file all departmental contracts.
  • Prepare and route purchase order requisitions to the Purchasing department and work with Purchasing on any order issues.
  • Organize and facilitate meetings, schedule and coordinate dates, times, venues, attendance, and agendas; take minutes, provide clerical support, and follow up on matters arising from meetings.
  • Coordinate the daily operation of the parking structure car count system, including daily calibration of the counts, data base management, and running reports from the system. Be the administrator and manage this system with assistance from Grounds and Landscaping team.
  • Review and monitor team member payroll entries to ensure accurate payment and timely submission to payroll department. Research and make corrections as required.
  • Work with facilities team on the management of the Maintenance Management System (MMS-Akita Box). Input equipment maintenance tasks, train others on how to input maintenance work order and run standardized and specialty reports from the system.
  • Create, develop, analyze, and maintain databases, spreadsheets, and PowerPoints; create graphs and charts for presentations as needed.
  • Perform job duties in full compliance with departmental Internal Controls, policies, procedures, and regulations.
  • Perform other duties as assigned.

Job Qualifications

  • A high school diploma or equivalent and 1 year of related experience are required. An Associate's degree as an Administrative Professional or related function can take the place of 6 months of experience.
  • Office skills must include the ability to use standard office equipment and the ability to demonstrate intermediate knowledge of Microsoft Word and Excel.
  • The ability to maintain discretion in handling confidential information.
  • The ability to interact with guests and team members professionally.
  • The ability to work irregular hours and extended shifts including late nights, early mornings, weekends, and holidays.
  • While performing the duties of this job, the team member is required to talk, hear, stand, sit, walk, climb, balance, stoop, kneel, crouch, and move freely throughout the office and property for duration of scheduled shift. The team member is frequently required to use hands to handle or feel objects, tools, or controls, and reach with hands and arms. The team member must be able to operate a personal computer. The team member is required to lift, carry, push, pull, or move objects up to 10 pounds on a regular basis and up to 25 pounds occasionally, without assistance. Team member must wear all required Personal Protective Equipment (PPE) while performing job duties. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Working Conditions
The noise level is usually moderate. When on the casino floor the noise level increases. The facility is not smoke free.
