Job Description:


  • About the Role
  • This is a temporary position from August 1, 2024 to January 15, 2025. The Administrative Assistant reports to the Assistant to the Director of the Gardens to provide support to the Director of the Gardens, help with planning and coordination of events, act as liaison with visitors to the Botanical Center, and perform general departmental administration duties.
Essential Functions-Answer phones and greet visitors

  • Schedule appointments and help maintain calendars
  • Schedule and coordinate meetings
  • Collect and distribute mail
Write and edit documents such as letters, and presentations

  • Create and maintain extensive filing systems, both electronic and physical
  • Manage invoices for payment by the Finance Office
  • Coordinate events hosted by the Botanical Gardens
  • Fill in for the Assistant to the Director when needed
  • Assist with budgeting processes
  • Assist with management of timesheets
  • Support the Botanical Library collections, such as shelving books and checking books out to Reader Services
  • Bachelor's degree preferred.
  • At least 3 years demonstrated experience in administration
  • Excellent writing and verbal communication skills (Spanish a plus)
  • Proficient in Microsoft Office and office management systems and procedures
  • Excellent time management skills and ability to multi task and prioritize work.
  • Ability to work independently and proactively with mínimal supervision.
  • Administrative skills: scheduling, organizing information into effective presentations for management.

Pay Range:
$22/hr.$25/hr. Commensurate on experience.
