Description
Provide daily administrative tasks to the Sr. Director and Director of Facilities including phone administration, calendar management, and project file management

  • Manage vehicle and fleet data collection, reconciliation of purchase, credit card management, and data entry
  • Data collection and entry for utility payments (agencywide facilities), facility vendor invoices, operation permits, furniture inventory, and contract procurement documents. Provide back up support for agency Web Purchasing system
  • Provide administrative support for the front desk
  • Direct troubleshooting response to utility providers for facility utilities service loss including maintain outage/restoration communication to the proper personnel and facilities, and ensure billings adjustment
  • Issue agency Picture badge ID cards and add Parking access
  • Manage department and agencyshared PPE inventory
  • Procure appliances and other small equipment as part of project improvement scope
  • Other duties may be assigned at the discretion of management
Essential Functions

  • Handle customers inquires and problems.
  • Dispatch Work Order Tickets to Technicians.
  • Provide follow up information to Technicians and Clients.
  • Troubleshoot product issues and customer concerns.
  • Document and update customer records and work order tickets.
  • Develop and maintain good communication relationships with Management, Technicians and Clients
  • Previous experience in customer service or another related field
  • Ability to build relationships with clients and technicians.
  • Ability to prioritize and multitask
  • Positive and professional demeanor.
  • Excellent written and verbal English and Spanish communication skills.
  • Solution Seeker.
  • Confer with customers or supervising personnel in order to address questions, problems, pertaining to work order request.
  • Ability to operate various office equipment (IPhone, IPad, Copier, scanner, laptop, desk top... among other equipment)
  • Must know Houston and its surroundings areas.
  • Assists with agency disaster support for our facilities as well as our community

Experience:
Required

  • 2 year(s): Two years in office environment Two years Dispatch/work order experience

Education:
Required

  • High School or better

Skills:
Preferred

  • Microsoft Outlook
