Job Summary:


The Accounts Receivable Assistant is responsible for providing financial, administrative, and clerical support by ensuring the accuracy and efficiency of operations.

This role includes processing and monitoring incoming payments, securing revenue by verifying and posting receipts, and managing collections activities to ensure timely payments from customers.


Key Responsibilities:

Processing Payments:

  • Record and process incoming payments in compliance with financial policies and procedures.
  • Prepare, verify, and post receipts for goods and services.
  • Reconcile the accounts receivable ledger to ensure all payments are accounted for and properly posted.

Collections:

  • Monitor accounts to identify outstanding debts.
  • Investigate historical data for debts and bills.
  • Negotiate payment plans and terms with customers when necessary.
  • Issue dunning letters and statements to customers.

Customer Service:

  • Respond to customer inquiries and resolve any issues or discrepancies regarding their accounts.
  • Maintain positive relationships with customers to facilitate smooth collections processes.
  • Address and resolve any paymentrelated queries from customers promptly.

Reporting:

  • Prepare and present reports on the status of outstanding accounts and collection efforts.
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Provide detailed account status updates to the Accounts Receivable Manager and other relevant departments.

Administrative Duties:

  • Maintain accurate and uptodate customer account information.
  • Perform administrative and clerical tasks such as data entry, filing, and managing correspondence related to accounts receivable.
  • Support the Credit Manager in other duties as needed.

Qualifications:

  • High school diploma or equivalent; associate's degree in accounting, finance, or related field preferred.
  • Proven experience as an Accounts Receivable Assistant, Clerk, or similar role.
  • Proficiency in MS Office, particularly Excel; familiarity with accounting software (e.g., QuickBooks, SAP) is a plus.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication and negotiation skills.
  • Ability to handle sensitive information confidentially.
  • Strong organizational and timemanagement skills.

Work Environment:

  • Office setting with regular use of standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • Occasional need to work additional hours to meet deadlines.

Pay:
$23.51 per hour
