Job Description:

Position Summary:


The Materials Specialist performs ordering, receiving, inventory control activities, data entry and record keeping within the materials supply operation to support Facilities Management.


Organizational Characteristics:


This position reports to the Materials Manager and works closely with the Materials Coordinator and Manager supporting their efforts to supply materials necessary for preventive and corrective work orders in all campus buildings, plant operations and campus grounds.

The Materials Supply Specialist uses the computerized maintenance management system (CMMS) to correlate storeroom operations and inputs requisitions and creates receipts in Workday.

This position correlates storeroom operations with work orders and ensures that the operation adequately meets the needs of internal customers.

This position provides direct service to facilities management and has the authority to purchase, transfer, or return materials to meet operational objectives.

This position is part of a Materials Supply Team that provides service to all Facilities Management Units.


Essential Functions:

  • Receives materials from vendor, verifies accuracy against purchase order, and to storeroom inventory or disburses against work order. Maintains file associated with storeroom functions, generates routine inventory reports, cycle counts, and material usage repots to help guide decision making process for the unit and document activity levels. Process materials purchase orders in CMMS, perform automated and manual adjustments to inventory, transfer stock as required. Create requisitions in Workday and create receipts for purchases. Reviews nonstock purchases from requestor, manage PM ordering and receiving process. Consults with maintenance personnel on purchase request and reviews for accuracy before placing order and provides appropriate follow up, works with suppliers to obtain parts in a timely manner. Places orders within an appropriate time frame.
  • Replenishes stock items through routine review and ordering. Maintains adequate stock levels in all storerooms through replenishment ordering and internal transfers. Performs cycle counts and adjusting entries as required. Monitor storeroom when technicians pick up materials, issue nonstock materials to requestor. Monitor inventory to avid excess or redundant inventory items. Adds stock to inventory through analysis and consultation with manager and maintenance personnel. Performs direct. customer service to requestor and maintenance personnel and supervisors as required. Reviews materials request for accuracy and completeness before placing order.
  • Other duties as assigned.

Dimensions:

  • The Materials Supply Specialist performs various daily activities in the materials supply operation to support nine stockrooms, providing over 2000 stock parts for FM maintenance operations.
  • Maintains over 3000 SKUs in the system.
  • Assists with up to 20 nonstock purchases daily.
  • Stock plus nonstock purchases total approximately $1 Million annually.

Position Type/Expected Hours of Work:

  • Fulltime.

Required Education and Experience:

  • High School or associate degree in related field or an equivalent combination of education and experience. 12 years of experience in a highvolume business setting required.
  • Must be able to communicate to a diverse audience in both written and oral form, providing excellent customer service.
  • Strong problem solving and organizational skills, along with attention to detail are a must.
  • Must be highly skilled in the use of computer technology to gather, analyze, and present management information.

Preferred Education and Experience:

  • Experience in a warehouse environment desired.
