About the Position

The Maricopa County Department of Transportation has an immediate opening for an experienced Administrative Assistant.

In this role, you will serve as the Adopt a Road Coordinator and provide office management assistance to the Strategic Communications and Outreach Division in their effort to provide internal and external communications and intergovernmental activities.

We Also Value- Associate's Degree-Job Contributions- Serve as the Adopt a Road Coordinator to include renewals, cancelations, new group sign-ups, training, supply coordination, and vendor payments, including the ability to work in complex GIS-based software- Provide administrative assistance including processing and composing documentation such as sensitive correspondence, memoranda, letters, reports, and other documents as needed; maintain calendars, schedule meetings, and appointments; prioritize and resolve meeting conflicts; answer phones and assist with Notify MCDOT requests; working under short deadlines- Provide administrative support to Division management which includes handling sensitive details and assignments, including employee recruitment, tracking personnel information, external stakeholder contact information, etc.

Provide administrative assistance to the Transportation Advisory Board Meetings including meeting coordination and minute-taking- Act as the Recognition Coordinator for MCDOT's Recognition Program, using judgment to evaluate the first review of recognition nominations for adherence to Department recognition standards- Setup and manage communication files for construction and maintenance projects which requires good organization, attention to detail, and the ability to follow best practices for record retention- Coordinate and process staff training and travel arrangements- Perform other tasks as assigned


Working Conditions- Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire- Maintain the Division budget including creating, tracking, processing, and closing purchase orders; manage and pay invoices; qualify for a P-Card, support staff in ordering supplies, manage social media advertising purchases- Exerting 20-25 lbs.
