Job Summary:
This position is primarily responsible for the release of information (ROI) for the Health Records Department, which covers both the
Civil and Forensic hospitals. The ROI requests require frequent communication with guardians, external healthcare providers,
attorneys, and other involved parties. Additionally, this position is responsible for monitoring the accuracy and completeness of
documents scanned by the other Medical Record Specialists. This monitoring requires the completion of audits in
accordance with the Health Records Department protocol established to meet the ASH Imaging Plan filed with the Arizona Department
of Library, Archives and Public Records. The Medical Records Specialist is also responsible for compiling and reporting the results of
health record chart audits to the Health Records Committee.


Job Duties:

  • Release of information (ROI) functions in response to requests from guardians, external healthcare providers,
attorneys, and other involved parties.

  • Monitoring the accuracy and completeness of documents scanned by the other Medical Record Specialists through the completion of audits, per the Health Records Department protocol.
  • Compiling and reporting the results of health record chart audits to the Health Records Committee.
  • Other duties as assigned as related to the position (typically 5% 10%)

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Composition of the health record
  • Policies and procedures related to patient confidentiality and HIPAA regulations
  • Performance Management (PM), and Continuous Quality Improvement (CQI) and Lean methodologies.

Skill in:

  • Reporting audit results
  • Communicating with external entities, including patient guardians, attorneys, and other service providers

Ability to:

  • Address customers in a helpful and courteous manner
  • Handle multiple requests, ability to multi

  • Recognize situations that require supervisory assistance and report them promptly

High School Diploma or Certificate of High School Equivalence, or similar credential is required and at least two years of administrative
