The Apotheken mit Herz are a pharmacy network consisting of 4 pharmacies in and around Berlin, located in Havana, ND.

We are currently seeking a dedicated Office Manager (m/f/d) to join our team.

In this versatile role, you will be responsible for the following tasks:


  • Organizing and coordinating daily office operations: You will be responsible for ensuring efficient organization and smooth workflows in the office.
  • Managing business correspondence: You will be the point of contact for internal and external communication.
  • Coordinating collaboration with partners such as cleaning companies, property management, insurance brokers, etc.
  • Scheduling appointments: You will keep track of appointments and ensure effective planning.
  • Handling and forwarding phone calls, emails, and incoming mail: You will answer phone calls, respond to emails, and forward important information.
  • Assisting with accounting and preparatory bookkeeping: You will support the accounting department and prepare relevant documents.
  • Assisting with personnel administration: You will assist with administrative tasks in human resources.
  • Drafting contract templates: You will create contract templates according to specifications.
  • Preparing and organizing meetings, including catering and event planning: You will organize meetings, take care of preparation and followup, and arrange catering for events.
  • Maintaining files, databases, and document management: You will manage files and maintain databases to ensure a smooth flow of information.
  • Responsibility for office equipment: You will be responsible for ordering office supplies and maintaining the office infrastructure
