Position Purpose
The Practice Manager is a dynamic and experienced people and operations leader responsible for planning, directing, and overall operations within their area(s) of responsibility.
Manages the ongoing development, implementation, and performance outcomes to improve efficiency and productivity of assigned service line(s). Manages the day-to-day operations of patient service areas, financial management, and facility adequacy.Maintains optimal communication and collaboration between practice staff, providers, administration, and other key stakeholders to ensure service delivery that exceeds the needs and expectations within the medical home model.
The Practice Manager works directly with clinical operations leadership to support the mission, vision, and strategic direction of the organization.
Essential FunctionsOperations
Plan, develop, and direct the day-to-day operations of the practice area(s) and its associated programs and activities to ensure compliance, operational efficiencies, staff productivity, integration, patient satisfaction, and fidelity to the medical home model of care.
Direct analysis/intervention related to clinic issues, front office to back-office activities, relevant provider clinical documentation, front office documentation, and care delivery activities.
Address issues raised by physicians, employees, and patients and seek out appropriate leaders or partners to problem solve and process improve.
Assist with and serve as a primary contact for de-escalation and crisis intervention efforts. Serve as a liaison with Vivent Health security staff to ensure strong partnership.Identify and communicate priorities, timelines, and accountabilities to ensure efficient use of resources and to promote an open and productive work environment.
LeadershipManage staff, requiring interviewing, hiring, training, progressive discipline, employee relations, performance appraisals, and dismissals.
Work in partnership with medical home departments and operations leadership.
Collaborate with administrative team and provider leadership to develop, assess, and implement business strategies.
Cultivate a positive work environment, consistent with the values of the organization, and foster a group dynamic that yields high people engagement and supports a culture of safety, utilizing collaboration and open discussions to develop staff skills.
Work with senior management to define performance goals for team and interface with staff to monitor progress, manage disciplinary issues and provide ongoing feedback.
Profit and loss responsibility for the clinics, including revenue, expenses, and budget management.Work collaboratively with operations leadership in forecasting and preparing annual clinic department budgets.
Ensure effective patient enrollment, and retention; optimize reimbursement; achieve targeted productivity/ utilization metrics; and comply with contract/ grant fiscal and programmatic requirements.
Serve as a resource for patient questions regarding billing and financial responsibility.Quality Assurance
Ensure and deliver an integrated and coordinated client experience.
Ensure adherence to clinical best practices, including applicable policies and procedures.
Enhance operational effectiveness, emphasizing cost containment, accurate patient registration, and efficient scheduling.
Participate actively in quality improvement projects to achieve and sustain high-quality patient experience and health outcomes.
Establish work procedures and standards to improve efficiency and effectiveness in medical home service delivery.
Ensure compliancewith federal, state, and local regulations.
Ensure and maintain a safe work environment, upholding enterprise-wide standards.
Qualifications
Bachelor's degree in public health, health information management and technology, healthcare administration management, or business or equivalent relevant experience defined as at least 6 years working as practice manager, office manager, or operations manager preferably in a medical/clinical/healthcare setting.
Three to five + years' experience in a medical or dental practice responsible for operations and leading a team - hiring, developing, coaching, training, disciplining, managing performance, and inspiring and creating an environment that fosters high engagement.
Must have valid driver's license.Knowledge of regulations, HIPAA policies, and clinical best practices.
Ability to analyze processes and information, identify problems and trends and develop effective solutions and strategies.
Experience working in customer-centric environment.
Experience working with electronic health systems and databases and key software programs i.e., Microsoft suite of programs.
Demonstrated commitment to DEIB ensuring that patients, staff, providers, and other key stakeholders are treated with respect and dignity.
Demonstrated knowledge of and ability to effectively and efficiently manage clinic schedules, coordinate patient care, and oversee clinical department budgets.
Demonstrated excellence in interpersonal skills and conflict resolution.Demonstrated excellence in communication, leadership, coaching, and organizational skills.
Working knowledge of Spanish language (bilingual) is a plus.

$76,000/annually (Depending on experience)
