What You Will Do
Provides overall support of the business services, cash management and reconciliation processes at multiple clinics. Provides assistance to the Business Services Representatives and assists with workload management. The Specialist is knowledgeable in all aspects of business services and provides pertinent training to clinic staff. Monitors registration self-service products and technology reporting issues to the IT and vendors.


Required Qualifications

  • H.S. Diploma or Equivalent
  • 3 Years experience in a health care, preferably in the ambulatory, setting.

Preferred Qualifications

  • Bachelor's Degree related field.
  • Experience with Touchworks, GE/IDX practice management system.

Essential Functions

  • Cash management
Prepares cash bags for distribution. Ensures the bag has the correct bank and currency denominations needed to make change.
Adheres to SRS processes for balancing reconciling bags and deposit.
Accurately prepares the deposit within the established timeframe for pick-up.
Accurately prepares and submits the reconciliation to PFS consistently on time.
Communicates posting and reconciliation errors to leadership. Prepares accuracy report outlining errors.
Assists staff with problems related to cash management.

  • Charge capture and verification
Reviews Prompt Pay edits and works with Providers if there is a discrepancy. If applicable makes changes to the TES encounter.
Reconciles Cosmetic (COS) consults and as appropriate transfers money to procedure.
Collaborates with coders to reconcile missing charges.
Monitors Touchworks Overdue Task Report Submit Encounter Tasks, escalates issues to leadership.

  • Department operations
Assists with registration, verification of eligibility and pre-authorizations.
Calculates patient responsibility utilizing the PRP tool.
Assists customers with billing questions and issues.
Serves as a resource to clinic staff for insurance related questions and issues.
Works collaboratively with the central unit to establish clinic workflows that provide excellent customer service and efficiency.
Analyzes reports and identifies areas of opportunities. Works with site BSRs to resolve items that are identified.

  • Equipment management
Promotes the use of self-service registration technology.
Monitors Kiosk administrative tool and ensures Kiosk is operating and charged.
Monitors that all providers are loaded into the system.
Notifies IT/Vendor of technology issues.

  • Other duties
Participates in special projects and other duties as assigned.

These may include but are not limited to meetings, work groups and back up support of the department and other areas as needed.


  • System management
Manage Registration Transaction Editing System (TES)

Reviews TES ETM report on a daily basis. Evaluates the edit to determine the responsible department to clear the edit.
Monitors report and edits to ensure timely resolution to meet billing deadlines.
Works registration and charge entry edits on a daily basis.
Identifies trends for education to users.
Communicates issues related to edits to CCM Analysts.
Edits that cannot be resolved are sent to SRS Coding and Compliance.

  • Training and education
Provides practice management system, insurance and process training to BSRs, PSRs and pertinent clinical staff.
Application testing of new technology or upgrades related to business and registration.
Attends meeting and assists with communicating new processes and initiatives.
Performs quality audits and prepares documentation of results.
Assists with competency testing.


Knowledge, Skills, and Abilities

  • Must have an understanding of managed care, feeforservice, government programs and eligibility verification.
  • Must be able to adhere to timelines and manage multiple tasks concurrently.
  • Exercises mature and sound judgement to the commitment of the Sharp Rees-Stealy mission and operational goals.
  • Must be proficient in Microsoft Word, Excel and PowerPoint.
