Administrative Asst III - The purpose of the position is to perform legal assistant and administrative support of the TDFPS Appellate Unit.

The Administrative Assistant III performs complex legal, secretarial, and administrative support work for seven attorneys who represent the Department in appeals and original proceedings before the fourteen Courts of Appeals and the Texas Supreme Court.


  • This position performs general administrative office duties, such as indexing, filing, maintenance of paper and electronic filing systems, copying, scanning, and faxing a variety of legal documents, and answering the telephone. Prepares, redacts, proofreads, and distributes documents and correspondence. Obtains and maintains control of a high volume of appellate records and legal files. Prints and organizes voluminous appellate records and files. Updates and maintains a calendar. Assists appellate attorneys in preparation for briefing and oral argument. Performs other duties as assigned. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
  • This position interacts routinely with Clerks of the Courts of Appeals and the Texas Supreme Court, District and County Clerks, Court Reporters, District and County Attorneys' offices, Attorneys, TDFPS staff, and the general public.

Essential Job Functions:

Attends work regularly in accordance with agency leave policy and does the following:

  • General administrative office duties, such as indexing, filing, maintenance of paper and electronic filing systems, copying, scanning, and faxing a variety of legal documents. Reviews and processes mail and legal documents for legal staff and maintains calendars. Orders and distributes supplies required to maintain unit operations. (35%)
  • Communicates with Clerks from Courts of Appeals and District Courts, Attorneys, and DFPS employees on matters related to appellate cases. Obtains and maintains a high volume of appellate records related to DFPS appeals. Assists in printing and organizing appellate materials, and storing appellate records. (35 %)
  • Prepares, redacts, proofreads, and distributes legal and administrative documents and correspondence. Will assist appellate attorneys to prepare for briefing and oral argument before the Courts of Appeals and the Texas Supreme Court. (20%)
  • Answers telephone, providing general information or routing calls as appropriate. (5%)
  • Performs other duties as assigned and required to maintain Appellate unit operations.

  • Knowledge of accepted legal practices and procedures.
  • Ability to prepare legal correspondence and other legal documents.

  • Ability to organize and maintain files and records, including managing multiple tasks, meeting deadlines, and planning and prioritizing work.

  • Proficient in the use of Microsoft Word, Outlook, as well as the ability to learn the use of other computer programs.

As a state agency, DFPS is required Texas Administrative Code (TAC 206 and 213) to ensure all Electronic Information Resources (EIR) follow accessibility standards.

The staff must be familiar with the WCAG 2.1 AA and Section 508 to create accessible content including but not limited to; Microsoft Office documents, Adobe PDFs, webpages, software, training guides, video, and audio files.
