Description
As the gatekeeper for Hematology/Oncology Faculty, the Administrative Coordinator oversees scheduling, manages calendars, and organizes appointments, meetings, and commitments. Additionally, the Coordinator handles new faculty recruitment and onboarding, including coordinating job talks, interview schedules, and onboarding activities. The role also involves overseeing Bearbuy purchasing and MyExpense reimbursements for faculty and lab staff.


This position requires a high level of independence and autonomy, excellent communication skills, and will be expected to learn and understand the institutions' policies to resolve issues and implement Division policies for activities.


For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.


Department Description

  • The Division of Hematology/Oncology is the largest Division in the Department of Medicine (DOM). Currently, the Division has 80+ Fulltime faculty, 11 parttime and/or volunteer faculty, 29 Accreditation Council for Graduate Medical Education (ACGME) and nonACGME fellows, 22 postdoctoral fellows, 32 Nonfaculty appointments and 48 administrative and research staff. The Division's research, clinical and teaching functions are primarily split between the Parnassus and Mission Bay campuses, although the faculty, fellows, and staff have appointments and clinical, research, and educational activities at Zuckerberg San Francisco General (ZSFG), and Veterans Affairs Medical Center (VAMC) as well.

Required Qualifications

  • Bachelor's degree in a related field and 1+ years of directly related work experience; and/or equivalent experience/training
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multitask with demanding timeframes.
  • Proven ability to function and participate effectively as part of a collaborative team
  • Demonstrated ability to work on multiple projects from conception to implementation while maintaining a highly serviceoriented demeanor.
  • Ability to use discretion and maintain confidentiality.

Preferred Qualifications

  • Familiarity with UCSF and DOM policies and procedures regarding travel, meetings, entertainment, expenses, and purchasing
  • Knowledge of UC financial systems link MyReports, MyExpense, and Bearbuy facilitating efficient management of financial transactions and reporting.
