Responsibilities:


The UCLA VAPAE Program offers coursework and a minor in arts education, community arts programs, internships, special projects, and public presentations for students and the community at large.

Under the supervision of the Director of the Visual and Performing Arts Education (VAPAE) Program in UCLA's School of the Arts and Architecture, the Arts Education Program Coordinator provides core administrative support for VAPAE's on-campus program activities.


Major responsibilities include the following:

plan and schedule academic courses, public events, and regular meetings of core VAPAE staff; facilitate programmatic needs for events and meetings including guest travel logistics, entertainment reservations, and catering; facilitate hiring of lecturers and teaching assistants with appropriate departments; recruit and facilitate the hiring of work study students, and subsequent supervision; oversee promotion, documentation, and evaluation of on-campus courses and events; track impact of on-campus courses and projects; facilitate and collect content for impact documents, grant submissions, yearly reports, and resource booklets; ensure effective communications with students, staff, faculty and on-campus partners; serve as VAPAE reception to interface with program participants and lecturers regarding academic systems and resource access; provide guidance for VAPAE undergraduate minors; maintain program budget and schedule VAPAE courses; maintain communication with Los Angeles schools and community organizations to establish and support VAPAE student teaching assignments.

Position directly supervises 3-5 part-time Community Education Specialist 2 positions and work study students.

Salary & Compensation:
*UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications:

  • Ability to establish priorities which reflect the relative importance of job responsibilities, adjusting them as circumstances change. Ability to work independently and follow through on assignments with mínimal supervision. (required)
  • Ability to coordinate complex, diverse tasks and information flows with public and university administrators, faculty and staff. (required)
  • Demonstrated interpersonal skills to work effectively in a diverse, multicultural environment. Ability to establish and maintain cooperative working relationships to work as part of an administrative team. (required)
  • Excellent verbal and written communication skills, including ability to speak on a onetoone basis using appropriate vocabulary and grammar to accurately obtain and impart information. (required)
  • Skill in reading and interpreting documents written in standard English text such as policies and procedures and governmental regulations. (required)
  • Ability to work a flexible schedule, including evenings and occasional weekends. Ability to travel between campus and K12 sites, event locations and other program locations. Valid driver's license and access to a car. (required)
  • Demonstrated skill in using personal computer utilizing Microsoft Word, Excel and Google Suite. (required)
  • Knowledge of and ability to utilize Illustrator, Adobe Acrobat, Squarespace, Trello, Figma, Canvas, and Photoshop software. (preferred)
  • Knowledge of University travel reimbursement, accounting and recordkeeping policies and procedures. (preferred)
  • Knowledge of the arts. Demonstrated commitment to K12 education, urban schooling, community building, and social justice issues. (required)
  • Ability to recruit, hire, assign work to and supervise 57 parttime staff. (required)
  • Knowledge of UC Recruit, OASIS, EOL, and CIMS systems. (preferred)

Education, Licenses, Certifications, & Professional Affiliations:

  • Bachelor's Degree Arts or a related field, or equivalent experience. (preferred)
