HRV Financial is seeking a detail-oriented, organized, and proactive Payroll Assistant to join our Human Resources (HR) team. As a Payroll Assistant, you will play a key role in supporting the payroll processing functions and ensuring the accurate and timely distribution of employee wages and benefits. You will work closely with HR staff and the finance department to maintain compliance with company policies and relevant legislation, and assist in a range of payroll-related tasks.

Key Responsibilities:

  • Payroll Processing:
  • Assist in the preparation and processing of bi-weekly or monthly payroll for all employees, vendors and clients ensuring that all data is accurate and up-to-date.
  • Input and verify employee hours, overtime, bonuses, commissions, and deductions.
  • Calculate and verify payroll adjustments, such as retroactive pay, garnishments, benefits deductions, and tax withholdings.
  • Disbursement payroll payments
  • Ensure accurate processing of paid time off (PTO), sick leave, vacation time, and other absences.
  • Employee Records Management:
  • Maintain and update employee payroll records in the HRIS (Human Resource Information System) and other relevant systems.
  • Ensure all personal, tax, and direct deposit information is up-to-date for all employees.
  • Assist with new hire and termination paperwork, ensuring proper payroll setup and final pay calculations.
  • Compliance & Reporting:
  • Assist with the preparation and filing of payroll-related tax documents, such as W-2s, 1099s, and other required filings.
  • Help ensure compliance with federal, state, and local payroll tax laws and labor regulations.
  • Generate and review reports related to payroll, deductions, taxes, and other payroll-related data.
  • Provide support in preparing periodic audits and compliance checks to ensure adherence to legal and company requirements.
  • Communication & Support:
  • Serve as a point of contact for employee payroll inquiries, resolving discrepancies and answering questions related to pay, benefits, and deductions.
  • Assist in educating employees on payroll policies and procedures.
  • Work closely with HR and Finance teams to ensure seamless payroll processes and data consistency.

Skills & Qualifications:

  • Education & Experience:
  • High school diploma or equivalent required; Associate’s degree in accounting, business, or related field preferred.
  • At least 1-2 years of experience in payroll processing or administrative roles, preferably in an HR or finance setting.
  • Experience with payroll software or HRIS systems (e.g., ADP, Paychex, Ultimate Software, etc.) is highly preferred.
  • Technical Skills:
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong proficiency with payroll software and HR systems.
  • Ability to understand and apply basic payroll and tax regulations.
  • Attention to Detail:
  • Excellent attention to detail and accuracy when inputting and reviewing payroll data.
  • Ability to identify errors and resolve discrepancies promptly.
  • Organizational Skills:
  • Strong organizational and time-management skills to handle multiple tasks and meet payroll deadlines.
  • Ability to manage confidential information with integrity and discretion.
  • Communication Skills:
  • Strong verbal and written communication skills.
  • Ability to effectively communicate with employees at all levels of the organization.
  • A customer-service-oriented mindset for addressing employee inquiries in a timely and professional manner.
  • Problem-Solving:
  • Ability to resolve payroll issues efficiently and professionally.
  • Capable of thinking critically and providing solutions to payroll-related challenges.
