+ Job summary: As Assistant to the Chair provides high-level confidential executive administrative support Department Chair senior leadership Comparative Medicine ensures seamless operation department governance faculty affairs graduate residency programs.+ Qualifications: Bachelor's degree Business Administration Public Administration Communications related field minimum 2 years progressively responsible executive-level administrative support preferably higher-education research environment.+ Responsibilities:+ Executive Administrative Support (45%): Serves confidential executive assistant Department chair screens prioritizes correspondence telephone calls utilizes independent judgment determine appropriate timely responses manages maintenance organization Chairs subject files serves office formal record schedules meetings coordinates setting agendas preparation materials ensures fully briefed meeting agenda items has required supporting materials plans trips travels Chairs works Finance Administration team members execute registrations travel details facilitates expense reimbursements documentation Chairs compliance within UW SoM regulations policies meets priorities Chairs Faculty Affairs (40%): Manages new hire processes duties include under direction Chair create job descriptions following established School of Medicine processes tools request approval recruit hire supports search committee Interfolio tasks posting announcements correspondence scheduling interviews travel arrangements composing offer rejection letters coordinating conducting orientations incoming residents interacts regularly residents assisting scheduling meetings Chairman Program Director faculty others responds queries classes rotations activities Minimum Requirements Bachelor's degree Business Administration Public Administration Communications related field minimum 2 years progressively responsible executive-level administrative support preferably higher-education research environment Additional Requirements Demonstrated expertise complex calendar management meeting coordination confidential correspondence experience planning executing large-scale events travel arrangements expense reconciliation institutional policies Desired Qualifications Master's degree Business Administration Public Administration Human Resources Communications related field proven track record managing faculty affairs processes recruitment promotions reappointments working academic HR systems e.g. Interfolio AAC workflows familiarity UW School of Medicine policies procedures shared-services workflows AAC Finance Registration Conditions Employment Fast-paced office setting frequent interruptions competing Core business hours 9 00 p.m. Monday Friday however Assistant expected onsite beyond these hours mornings evenings weekends needed support Chairman schedule department events On-site presence required full-time first six months occasional evening weekend events necessary Remote working option available day remote week contingent successful completion six months performance department needs Application Process application process may include completion online assessments additional information used evaluation process These assessments may include Work Authorization Cover Letter others Any assessments need complete appear screen soon select Apply position Once begin assessment must completed time if do not complete prompted access My Jobs page If select take later appear My Jobs page when ready Please note application will not reviewed considered position until all required assessments have been completed+
