POSITION: Mechanical Service Dispatcher
The Mechanical Service Dispatcher will take incoming calls and help facilitate the dispatch of our service
technicians to our customers in need. In this role, the Service Dispatcher will be responsible for carefully
listening to each customer, obtaining vital information, reviewing the technicians' schedules, and responding
as quickly as possible to the request, ensuring customer satisfaction. This is a critical role in keeping
efficiency within our company. The Service Dispatcher will ensure that each technician's day is planned
efficiently, with service calls scheduled in a logical, time-effective manner. Documentation is another crucial
aspect of this position and will require entering service calls, tracking job progress, and maintaining records
of hours and parts used. The Mechanical Service Dispatcher's goal is to play a pivotal role i
RESPONSIBILITIES:
• Communicate professionally with customers to provide excellent customer service.
• Dispatch service calls based on skills and customers' needs while maintaining profitability.
• Enter service and contract jobs into Connect.
• Order and create electronic Purchase Orders for all material and equipment needs.
• Create electronic Purchase Orders for subcontractors' needs.
• Ensure Purchase Orders are submitted and properly completed for accounting.
• Coordinate technicians and subcontractors.
• Coordinate scheduled filter/belt orders for PM inspections.
• Create tasking sheets for new PM customers.
• Invoice service jobs and monthly PM billings.
• Assist in quoting (small) jobs for technicians.
• Ensure all spreadsheets using labor rates are up to date by April 1st of each year.
• Help technicians find manuals, distributors, parts, etc.
• Track PM contracts.
• Schedule vehicle inspections, oil changes and repairs for Mechanical vehicles.
• Performs other related duties as assigned.
REQUIREMENTS:
• Ability to prioritize tasks.
• Possess excellent organizational skills.
• Excellent customer service skills (Positive and professional demeanor)
• Strong verbal and written skills.
• Ability to remain calm and deliver clear instructions under pressure.
• Strong analytical and problem-solving skills.
• Must be able to pass a drug and alcohol test and possess a valid Pennsylvania's Driver's License.
PREFERRED EXPERIENCE AND EDUCATION:
• Minimum high school diploma or GED
• Dispatch experience preferred but not required.
• Proficient in typing
• Basic understanding and experience with Microsoft Office
