Job Description

Control the movements and reconciliation of the physical inventory in the warehouse. Physically count reserve inventory. Coordinate and lead return goods process for PFS Vegga. Track returns and service issues through reporting. Mitigate unnecessary returns and service issues through analysis, supplier relations, and internal communication. Bookkeeping, Accounts Payable, Accounts Receivable, general accounting, human resources, and Food Safety of the Supply Chain Center. Cross-train in other operation areas.

RESPONSIBILITIES AND DUTIES

Billing and shipping documents

Create accurate shipping and billing documents
Create bills of lading, ensuring shipment matches purchase order
Provide warehouse with loading documentation
Process orders for stores
Prepare billing for order add-ons and pickups
Prepare all paperwork for loading and production; run any pertinent reports
Prepare invoices for dispatch and attach any necessary communications to the stores
Evaluate and maintain good rapport with suppliers, including holding them accountable for services rendered
Coordinate reverse logistics process, problem resolution, physical processing of return, and determination of approval for credit
Provide daily reports to team leaders on returned goods
Maintain a high level of service with center directors to ensure issues are resolved promptly
Act as a liaison between CSR, SCC, and supplier
Investigate customer complaints and implement or provide recommendations for resolution

Inventory Reconciliation

Perform inventory counts and reconciliation of inventory
Verify incoming product accuracy against inventory sheet or purchase order and update product through the data entry system
Recognize and react appropriately to over/under inventory levels
Perform daily/weekly inventory cycle counts
Daily replenishment of stock locations
Assist in year-end inventory count project
Act as liaison between Operations and Accounting regarding inventory matters
Implement and communicate solutions to appropriate parties regarding inventory concerns

Accounts Receivable / Customer Service

Monitor account receivables and past dues
Receive and resolve customer requests, concerns, and complaints
Research credit requests and issue credits to customers on a timely basis and understand the impact on inventory
Collect customer late payments and monitor credit policy

Accounts Payable

Review and monitor accrual for unpaid inventory receipts (COGs accrual)
Review and monitor accrual for unpaid non-cog purchase orders and receipts
Maintain inventory in PeopleSoft, ensuring all company policies are followed
Record retention is essential. However, there are guidelines to follow
Assist management and WRC with establishing new processes and controls related to new business ventures

Accounting and Administrative Support

Maintain price/cost
Assist management with preparing weekly and period key indicators
Provide ad hoc reporting as requested by the World Resource Center
Respond to internal or audit requests
Provide clerical support to other departments as needed
Record retention of all financials and maintain a filing system for invoices and inventory

Production Duties

Cross-train with the production team leader
Maintain documents and records for the production department
Maintain documents and records for third-party audits
Maintain Food Safety Documents
Other duties as assigned – acts as our center's safety coordinator and project coordinator

Qualifications:
Qualifications

Associate's or bachelor's degree in business or accounting preferred
Minimum 2-5 years of bookkeeping or general accounting experience
Excellent communication and organizational skills
SAP experience a plus
Maintain forklift certification
Ability to manage multiple tasks
Solid understanding of Inventory principles
Excellent knowledge of Microsoft Office software
Desire to work in a production environment
Prior PeopleSoft experience preferred
