TASKS AND RESPONSIBILITIES

  1. Treat all individuals with dignity and respect while maintaining agency standards of confidentiality, professionalism, and objectivity.
  2. Assist in gathering third-party payor information and obtain all necessary releases for billing and payment collection.
  3. Conduct admissions for Residential, Outpatient, and prescribing patients using integrated resources.
  4. Communicate with third-party payors regarding services received by covered individuals (oral and written).
  5. Monitor third-party payor pre-certifications and notify counselors of upcoming reviews.
  6. Provide financial evaluations to patients and establish sliding fee scales during placement screenings and update annually.
  7. Receive and record patient payments; issue receipts and secure funds appropriately until deposit.
  8. Participate in patient scheduling with other staff members.
  9. Respond to questions from patients or interested parties regarding service charges.
  10. Complete reviews of admission and financial paperwork at each level-of-care change and discharge.
  11. Provide data entry support, including for the Department of Transportation and internal patient data systems like Cerner.
  12. Monitor file compliance and assist clinicians with data retrieval and completion.
  13. Provide appointment scheduling support for mental health, substance abuse, and physical healthcare services.
  14. Ensure patients have access to transportation for appointments; transport patients directly as needed.
  15. Participate in hospital discharge processes and coordinate with providers and families.
  16. Work closely with hospital emergency departments to ensure care continuity.
  17. Assist patients with obtaining medications and promoting medication adherence.
  18. Coordinate services with community resources and agencies.
  19. Advocate for patients, particularly those vulnerable or requiring extra support.
  20. Connect patients to recovery supports and long-term services when available.
  21. Complete and submit all required documentation, including grant-related records (e.g., GPRA forms).
  22. Ensure releases of information and other required documents are accurately completed and filed.
  23. Assist with Quality Improvement efforts.
  24. Maintain HIPAA, 42 CFR, CARF, and other confidentiality and regulatory standards.
  25. Answer the phone as a backup to Support Staff.
  26. Communicate with staff to address billing discrepancies.
  27. Perform all other duties as assigned by the Office Manager, Service Navigator Lead, or designee.

QUALIFICATIONS / SKILLS / KNOWLEDGE

  1. Understanding and support of Prairie Ridge's mission and patients served.
  2. Minimum of two years of experience in a medical office OR a Bachelor's degree in a human services field OR three years of relevant experience with multi-occurring disorders.
  3. Proficiency in oral and written communication, typing, filing, and general office operations.
  4. Competence in managing electronic data collection and electronic health records.
  5. Ability to engage with patients and the public in a warm, supportive manner.
  6. Must be able to travel as needed.
  7. Physical Requirements:
    • Frequently required to sit, use hands, talk, or hear.
    • May be required to walk, stoop, kneel, crouch, crawl, stand, climb, or balance.
    • Must occasionally lift/move up to 35 pounds.
    • Must have close, distance, color vision and the ability to adjust focus.
