    POSITION TITLE: Estimator

    PAY STATUS: Non-exempt

    SUPERVISES:?N/A

    PAY RANGE: $100,000-$150,000

    General Responsibilities:

    The Estimator is responsible for reviewing and analyzing invitations to bid. Related documents, including,

    but not limited to, project proposals, schedules, blueprints, and specifications to assess the scope and

    identify labor, material, and time requirements. Based on project type (tenant improvement/core and

    shell), size, and complexity, the Estimator isolates all elements that will impact project economics and

    communicates as needed with the general contractor, client, estimating colleagues, and project

    management to resolve potential issues. They then use estimating software, cost and production

    databases, and other estimating techniques along with experience and training to generate a detailed bid

    estimate within bid deadlines. Additionally, the Estimator is responsible for maintaining relationships with

    general contractor clients – monitoring and shepherding their bid proposals from submission to bid

    award.

    Significant Duties:

    Analyzes all bid and scope requirements upon receipt and through bid completion, including:

    Confirming all the latest bid documents are available, bid deadlines are reasonable, and any

    special instructions are clear.

  • Review and analyze the general project description, project drawings (originals, bulletins, and addendums), specifications, contracts, bid information, material take-offs, job walk data, RFI's, and other documentation.
  • Ensures that the above described required to bid and scope documents are saved and maintained as per Company policy to facilitate access by Company support personnel.
  • Based upon the above review and analysis, after consulting with senior management, determine the necessary phasing or separation of work on the project (i.e., exterior/interior, floor, zone, building, phase, etc.).
  • Research and confirm project specifications that appear ambiguous or complex, including elevations and deck heights; custom or intricate framing and or wall types; specialized or longlead-time materials; local code compliance requirements.
  • Identifies and ensures special labor requirements are considered and accommodated (work preservation, minority/local hiring, WBE/MBE, joint venture limits, etc.).
  • Evaluates non-uniform scheduling requirements, including the possibility of schedule compression or expansion, out of sequence work, and overtime requirements.
  • Identifies and understands the financial impact of insurances (OCIP, CCIP, PLA, or others, or any combination) and bonding requirements.
  • Identify potential technical, logistical, or other issues that senior management should communicate and discuss before initiating the estimate.
  • Clarifies any general requirements with the general contractor.
  • Prepares timely, comprehensive, and accurate cost estimates (utilizing QuickBid, On-Screen Takeoff, Microsoft Office, Adobe Acrobat, Blue Beam, or other tools as needed)
  • Knowledgeable of the project to integrate and organize all the information gathered during the analysis process into the bid.
  • Organizes the bid estimate, as necessary, into phases/segments to facilitate analyzing actual versus budget and to simplify tracking against the original schedule.
  • Validates appropriate labor rates while allowing for changes in project type, timing, or length.
  • Inputs all relevant information efficiently into On Screen Take Off/Quick Bid and preliminarily reviewing the input data for completeness and accuracy. Identify technical, logistical, or other issues, including ambiguous drawing plan elements or contract elements/requirements that require clarification or explanation.
  • Drafts RFI's addressed to the architect and general contractor specifically and identifying the nature of the issue, supported by copies of all documentation.
  • Maintains an open, positive, and productive relationship with the architect and general contractor and routinely monitors unanswered RFIs until clarified.
  • Communicates the status of the bid estimate with the Bid Coordinator and Management to ensure everyone is informed of when the bid will be complete.
  • Prepares a comprehensive, well-organized, and professional bid proposal by: Reviewing the bid estimate output from Quick Bid for completeness and accuracy.
  • Summarizes all the relevant financial estimates into an easily understandable, organized, and professional proposal in the manner requested by the client and that sufficiently communicates the Company's bid, including detailed Inclusions, Exclusions, Alternates, and Qualifications specific to the project.
  • Completes, reviews, and submits the bid proposals within the bid deadline.
  • Reviews the bid estimate output from Quick Bid for completeness and accuracy.
  • Monitors the status of a submitted bid should include Continuing client communication through telephone, email, and other correspondence to ensure that RFP/RFI/RFQs are satisfactorily answered during the bid process; monitoring the status of all projects bid from the point of bid preparation through bid award.
  • Accumulates, documents, and maintains (in accordance with the Company's protocols) appropriate historical cost and production databases,
  • Utilizes financial reports to streamline and correct bidding deficiencies. Skills and Abilities Required:

  • • Demonstrates a willingness to learn new ways to perform functions more effectively.
  • • Effectively understands problems and makes timely, practical decisions.
  • • Cognizant of potential project risks during projects.

  • • Timely documents the nature and impact of risks and communicates risks to management.
  • • Is punctual in all aspects of the job Qualifications/ Requirements: High School diploma or equivalent. Some college coursework is desirable.
  • Minimum of 10 years of experience in the construction industry with an emphasis on commercial and/or public tenant improvement and core and shell projects.
  • Experience working with general contractors, subcontractors, and field personnel on all aspects of a project from conception to completion.
  • Capable of analyzing, understanding, and assessing complex project architectural and technical drawings and specifications.
  • Proficient in On Screen Take Off/QuickBid or similar estimating software. Capable of learning/adapting skills from another estimating program to QuickBid.
  • Proficient with desktop, laptop, and tablet computer hardware and software including Microsoft Office (Word, Excel, and Outlook); On-Screen Takeoff/Quick Bid, Adobe Acrobat and Bluebeam. A working knowledge of Computer Aided Drawing (CAD) software is also desirable.
  • Capable of using several different research methods and tools, including the internet.
  • Capable communicator and negotiator with exceptional customer relationship and service skills, with an ability to proficiently follow through with clients and project personnel.
  • Proven problem-solver with an attention to detail.
  • Capable of multi-tasking multiple priorities with strong organizational and time management skills.
  • Motivated and eager to take the initiative and manage tasks to completion.
  • Willing and able to travel to project sites.
  • Flexible to adapt to change quickly.\ Essential Physical Demands of the Position: The physical demands described here are representative of those that must be met by an Estimator to successfully perform the essential functions of the job. While performing the duties of this job, an Estimator is frequently required to sit, talk, and hear and must be able to drive or otherwise transport him/herself to a project site; client, subcontractor, or supplier office; or other offsite off-site or facility as needed. The Estimator is occasionally required to walk, handle, or operate objects, tools or controls, and reach with hands and arms. The Estimator must occasionally lift and/or move up to twenty (20) pounds.
