    Job DescriptionDescription:

    Tasks of the BUILDER Program Administration Specialist primarily will be toprovide program and administrative support to the DHA FE FOB O&M (Operations and Maintenance) Branch: SMS-BUILDER Program leadership as needed for meetings, reports, and

    other government deliverables. The selected candidate will track all BUILDER Program related documentation, taskers, requests for Information (RFI), and internal meeting minutes, and: the storage, archiving, and

    distribution of those products on the BUILDER Data Repository (BDR) Facilities Enterprise SharePoint.

    Primary duty station: San Antonio, TX.

    Roles and Responsibilities


    • Provide BUILDER Program elements with information flow and data archiving.


    • Assists with entry, cleanup, and reconciliation of BUILDER related documents.


    • Captures re-occurring BUILDER meeting notes for distribution and archiving.


    • Provides status updates for the formation and data transition at weekly staff meetings.


    • Facilitates weekly updates for BUILDER stakeholders as necessary or requested.


    • Maintains BUILDER Program Directory/Contact List


    • Track ESMS Training Statistics


    • Provide administrative support services to an executive, professional group, and organizational department.


    • Performs specialized office or clerical support tasks that require knowledge of department or company procedures.


    • Confers with management regarding records management needs.


    • Exercises judgment and initiative in routine matters.


    • Other duties may be assigned to meet organization needs. Such as: Maintaining and expanding filing system; Receiving, fielding and relaying calls; Taking and delivering thorough messages in a timely manner; Prioritizing assignments; Tracking forms and reports; Effectively communicates information to office staff, supervisors, contractors and other team members; Take dictation/document meetings, etc.


    • Create and maintain consolidated SMS-BUILDER Data Repository (BDR) on the FE SharePoint by:


    • Moving Documents from the WCFT legacy site to the SharePoint


    • Moving Documents from the Max.Gov legacy site the SharePoint


    • Collecting Documents from BUILDER users that are not currently in WCFT or and storing them in the SharePoint.


    • Maintain the BDR by adding documents as necessary.


    • Coordinate Document uploads to the BDR at Enterprise, Network, Site, & Asset Level. Documents may include but not be limited to:

    Engineering Reports

    Director Critical Information Report (DCIR)

    Any other DHA generated reports

    Route, coordinate, and track suspenses for BUILDER data requests, RFIs, taskings, etc.

    Sustainment Site Visit Notification Letters

    Reports

    RFI responses

    AD HOC Inquiries

    Requirements:

    Required Qualifications:


    • Educational Requirements vary per Performance Work Statement (PWS)


    • Minimum high school diploma, two-year associate degree preferred


    • Strong working knowledge of Microsoft Office 365/Microsoft Office Suite.


    • Exceptional reading/writing/verbal communication skills.


    • Exceptional client facing and internal communication skills.


    • Solid organizational skills including attention to detail and multitasking skills in a diverse environment.

    Preferred Skills:


    • Ability to develop products resulting from analysis.


    • Proficient with Microsoft Office Suite.
