Job Summary
The Service Coordinator at Solar Smart Living plays a pivotal role in the Service Department, taking ownership of key operational processes to ensure efficient, high-quality service delivery for our HVAC and Solar customers. This position involves dispatching technicians, scheduling jobs, facilitating job completion through proactive customer communication, managing the quotation process and execution of our service system. The ideal candidate is organized, customer-focused, and capable of multitasking in a fast-paced environment to support seamless operations and customer satisfaction.
Key Responsibilities
- Dispatching and Scheduling: Coordinate and dispatch service technicians to job sites through our Field Service Management software based on urgency, location, technician availability, and skill sets. Optimize schedules to maximize efficiency, minimize downtime, and ensure timely response to service requests.
- Job Facilitation and Completion: Oversee the end-to-end process of service jobs, including monitoring progress, resolving on-site issues, and collaborating with technicians to provide necessary resources, updates, and follow-up actions.
- External Partner Collaboration: Collaborate with external service partners to finalize, remediate, or complete projects originally initiated by other companies but requiring additional work to reach full operational status.
- Quotation and Financial Coordination: Facilitate the creation, review, and prompt delivery of service quotes (including parts, labor, and timelines) by gathering accurate details from the service team. Send quotes same-day when required, follow up on approvals, coordinate revisions, generate reports, facilitate payments, and assist with invoicing coordination with accounting.
- Process Ownership and Improvement: Assist in ownership of service department office workflow, to be able to identify bottlenecks, propose process enhancements, and implement best practices to streamline operations. Assist with initiatives to upgrade or clean up our systems.
- Administrative and Support Duties: Maintain accurate records in the company's dispatch software or CRM system to allow management to generate reports on service metrics (e.g., response times, completion rates). Assist with billing coordination, warranty claims, and coordination with other departments.
Key Performance Expectations
- Dispatch all same-day tickets by the end of business day.
- Close completed jobs or advance next steps (payment, quote, reschedule) daily.
- Send required quotes the same day.
- Maintain accurate, duplicate-free data entry and daily system updates.
- Consistent attendance, punctuality, and professionalism.
Qualifications
- Experience in service dispatch, field service coordination, or operations (solar/PV, HVAC, electrical preferred).
- Strong organizational, multitasking, and communication skills.
- Proficiency with Field Service Management, spreadsheets, and payment processes.
- Detail-oriented with commitment to data accuracy and fast response times.
- Knowledge of solar equipment/brands and third-party solar partners is a plus.
- Ability to thrive in a fast-paced, high-volume environment.
This role is vital for efficient field operations, technician support, and outstanding customer service in the renewable energy space.
Other Details:
Working Hours: 8am - 5pm ; Monday - Friday
PTO - 80 hours for the first year.
401k - Available after the first year.
Pay: $ $23.00 per hour
