Summary
This role provides high‑level administrative and project coordination support for a dynamic, fast‑paced team.

The position is responsible for managing project reporting, overseeing consultant documentation and budget tracking, facilitating communication with internal and external partners, and coordinating complex travel and expense processes.

The ideal candidate will bring strong organizational skills, exceptional professionalism, and the ability to manage multiple priorities while ensuring accuracy, efficiency, and smooth day‑to‑day operations.

Job Description

The individual in this role will provide comprehensive administrative and project support to ensure the efficient operation of the team.

Key responsibilities include coordinating meetings, preparing and maintaining reports on active projects within the Pipeline Report, and creating and updating Shadow Pipeline reports prior to quarter‑end.

The position requires a thorough understanding of processing consultant agreements, change orders, and invoices, as well as tracking project budgets.

The role also involves regular communication with consultants and municipalities, gathering and consolidating data from multiple teams nationwide, and managing all travel arrangements and expense reports for two team members.

Additional duties may include supporting special projects as assigned.


Success in this role requires exceptional professionalism, strong oral and written communication skills, and outstanding attention to detail and follow‑through.

The ideal candidate will demonstrate adaptability, strong teamwork, and the ability to manage multiple priorities in a fast‑paced environment.

Requirements


  • 4+ years of relevant professional experience
  • Previous experience in commercial real estate; development or construction experience is highly beneficial
  • Advanced Excel skills (including VLOOKUP, macros, spreadsheet merging, and the ability to manipulate exported data)
  • Proficiency in Word (including chart and table creation), PowerPoint, and Outlook
  • Experience with MRI, and Salesforce is a plus
