    SUMMARY

    The CASE Document Control Specialist performs Document Control functions in accordance with existing Quality system Policies and Procedures. The position's goal is to create, review, approve, distribute dispose of documents, and emphasize the need for version control, change management, and strict adherence to regulatory requirements and industry standards. Overall, responsibility is to support the Customer Service department with daily operations, ensure overall satisfaction, and make sure TSE is viewed as a preferred supplier to our customer base. This translates into maintaining quality documents and standard operating procedures, following up with internal business partners to make sure dates are met, and problem solving. A diplomatic disposition is required while also being able to push internally to make sure certain requirements are met. This position requires exceptional communications skills.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    Copying, scanning, and storing documents including but not limited to employee training manuals, standard operating procedures, and training documentation.

    Checking documents for accuracy and editing files.

    Designing templates for documents, file types, and document databases.

    Reviewing and editing manuals and workflows.

    Manage the flow of documentation within the organization.

    Maintain confidentiality around sensitive information and terms of agreement.

    Checking and editing documents for accuracy and compliance.

    Assisting employees with accessing documents through the document control system.

    Manage the document control system to ensure all company documents are stored and tracked appropriately. Sending reminders to employees who are "writers" of these documents to review and approve yearly to ensure all information listed is the most current and up to date.

    Ensuring that all documentation is properly identified, in the correct folder, and in compliance with standards and procedures.

    Implement and maintain a system for archiving old documents within the document control system.

    Provide training and support to other team members on the document control system and best practices for document management.

    Knowledge of Microsoft Office including Excel and Word is required.

    Interact and provide assistance to surrounding CASE Departments including but not limited to Quality Engineering, Analytics Lab, R&D Lab, Production.

    Requirements:

    SAFETY TRAINING To perform this job successfully, an individual must complete and maintain Safety Training according to the Safety Training Matrix.

    QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Capacity to operate autonomously and handle numerous assignments correctly. Proficient in Microsoft Office platforms and document management software. Ability to prioritize tasks and work effectively in a fast-paced environment.     EDUCATION AND/OR EXPERIENCE

    Associate's degree (A.A.) or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience. Knowledge of some software programs a must for job performance. Knowledge of world geographies for exporting material are needed, along with knowledge of shipping terms and familiarity with worldwide shipping customs.

    LANGUAGE SKILLS

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Must have letter-writing skills for correspondence with distributors/ customers and/or internal communication. Strong communication and interpersonal skills.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    REASONING ABILITY

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Excellent attention to detail and commitment to producing high-quality work.
