Sr. Admin Business Coordinator Description·Reports directly to the McLean Fernside Program Director and has a dotted line reporting relationship with the Executive Director of Operations at McLean Hospital (Belmont, MA) regarding business management, operations, policy implementation, and vendor contract relationships.
·Accountable for operational efficiency and effectiveness, fiscal performance, business implementation, and vendor service management for McLean Fernside.
·Assist with candidate review, interview scheduling, and hiring process for open positions and onboarding and orientation of new staff at the McLean Fernside program.
·Manage new staff hiring process in conjunction and partnership with McLean Hospital Human Resources as it relates to background checks, 1-9 forms, Occupational Health. Ensures that orientation and training are scheduled and completed.
·Maintain professional, courteous, and effective relationships with vendors and designated personnel.
·Manage ongoing business operations to drive the program's expansion forward, making the program successful and competitive within the regional, national, and international marketplaces.
·Develop, organize, and maintain appropriate databases for business tracking and analysis functions. Prepare and distribute monthly utilization data, budget summaries, and other operational reports, as directed.
·Handle general office procedures and functions (., accounts receivable, accounts payable, equipment maintenance issues).
·Manage PeopleSoft/Workday and UKG electronic systems and serves as the liaison to McLean Human Resources and other relevant administrative departments.
·Oversee contracted services (., food services, dietary consulting, housekeeping, maintenance, linen service, lab services, hazardous waste contract, .
·Assure that operational-based Quality Assurance protocols and checklists are followed and reviewed promptly.
·Develop and monitor the program operation budget and applications, contracts, and budgets as required by local, state, and federal agencies.
·Develop appropriate policies and procedures for the McLean program in compliance with local, state, and federal agency regulations. Prepare necessary licensure and accreditation materials, as directed by the Program Director.
·Update, revise, and create new program materials and policies as the program expands to meet the needs of specific and targeted patient populations.
·Represent the program, as directed by the Program Director, at appropriate meetings (virtual and in-person) throughout the McLean Hospital system.
·Prepare and distribute monthly utilization data, budget summaries, and other operational reports, as directed.
·Conduct ongoing daily inspections of the facility for the purposes of ensuring optimal safety and appearance of the residential facility. Work with the onsite maintenance technician, with McLean facilities, and with vendors to maintain a first-class appearance of the facility.
Qualifications·Bachelor's degree required. Master's preferred in business or related field.
·Three years of related work experience is required.
·Experience in a business operational, facility management, or healthcare administrative setting is preferred.
·Ability to work efficiently to meet deadlines and communicate effectively at all levels of an organization or program.
·Requires a professional demeanor, behavior, attitude, and daily presentation (attire).
·Proficiency in MS Office, including Word, Excel, Outlook, and PowerPoint skills, is required.
·This position requires an on-site presence at least 4 days per week, 8 hours per day.
