    Job Description:


    Reporting to the Registrar, the Operations Coordinator is responsible for managing functions and processes within the Office of the Registrar, including but not limited to student withdrawals, readmission applications, academic petitions, independent coursework requests, and course and curriculum updates, as well as updating and maintaining records in the Banner Student System. The Operations Coordinator provides administrative support with diploma mailing and daily Registrar functions. The incumbent will routinely interact with students and faculty as well as staff from various offices across campus.

    Essential Functions:

    1. Supervisory responsibilities:
    • Acts as the direct supervisor of the Customer Service Representative within the Office of the Registrar;
    • In this capacity, monitors the daily front-of-house operations of the Registrar's Office, including - but not limited to - customer service, transcript processing, diploma mailing, and addressing in-person, telephone, and email inquiries;
    • Maintains oversight of incoming requests through online request system, including but not limited to, course withdrawals, Grade/Pass/Fail requests, and course overrides; Monitors response time on requests, addresses questions, and follows up with Customer Service Representative as appropriate;
    • Manages time off requests and tracks and submits time card information in ADP system.
    2. Management of student status changes and academic petitions:
    • Collects and tracks student requests for status changes, including withdrawals, leaves of absence, study abroad and readmission to the College;
    • Performs necessary research and problem solving around status changes;
    • Processes status changes in the Banner Student System;
    • Collects and tracks student academic petitions;
    • Performs necessary research around petitions in preparation for Academic Petition Committee meetings;
    • Communicates with students around outcome of petitions and appeals.
    3. Transfer credit posting and grade changes:
    • Posts transfer credits to student records in Banner system;
    • Assists with outreach to academic departments for transfer course review and updates transfer equivalency database as necessary;
    • Processes grade changes in Banner system;
    • Processes academic standing and Dean's List updates resulting from grade changes and notifies appropriate parties.
    4. Curriculum updates:
    • Inputs curriculum changes in Coursedog and Banner systems.
    5. Course creation and updates:
    • Creates new courses in Banner system;
    • Manages independent course request process, creating sections and registering students;
    • Inputs changes to course sections, including but not limited to instructor updates, in Coursedog and Banner system.
    6. Administrative support:
    • Provides front office administrative support as needed, including processing course registrations and transcript requests, and responding to telephone, electronic, and in-person inquiries;
    • Coordinates thrice-yearly bulk mailing of diplomas and manage requests for duplicate diplomas;
    • Monitors office supplies and coordinates ordering within scope of budget.
    7. Support of College/Registrar events:
    • Participates in preparation for Commencement and semester Check-In events;
    • Provides registrarial support at Commencement and Check-In events.
    Additional Functions:
    • Performs other duties as assigned by supervisor or their designee;
    • Respects and maintains confidentiality, parameters of operation, professional protocols, and individual privacy.

    Requirements:


    Minimum Qualifications:
    • Bachelor's degree.
    • Proficiency with Microsoft Office Suite.
    • Ability to work some weekends in support of College events.
    Preferred Qualifications:
    • Proficiency with Banner Student System, Coursedog, and Degree Works a plus.
    • Familiarity with FERPA.
    • Experience working in an educational environment.
