Description
SUMMARY:
Provides administrative support to the Marketing Department and other department heads. Answers phones, types and prepares correspondence. Handles mail and may assist guests or clients as needed. Participates in hotel activities and resolves guest issues. Responsible for meeting and/or exceeding job class goals and objectives.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Prepares reports, contracts and proposals as needed for business, research or support. Distributes and files incoming correspondence, i.e. contracts, scripts, proofs, etc for Marketing and booked entertainment. Answer Phones, takes messages for respective managers and department heads; prepares and controls office supplies. Responsible for all Dig Lounge entertainment booking. Respond to all Contact Us emails. Forward all Contact Us Surveys to the pertinent Department Head(s). Proof all Direct Mail Seed to the Matrix. Assist Director of Marketing in all aspects of Entertainment Purchasing and Management. Assist Director of Marketing in all Media Purchasing and Placement. Responsible for all Dig Lounge entertainment booking. Prepares reports, contracts and proposals as needed for business, research or support. Distributes and files incoming correspondence, i.e. contracts, scripts, proofs, etc for Marketing and booked entertainment. Prepares all related requisitions for Marketing and Entertainment vendors. Safe keeps all related materials for Marketing, Advertising and Entertainment.
Assist with slot tournaments as needed for registration of guests, scorekeeping, or other duties assigned to Marketing for slot tournaments.
Provides proper security, safety and emergency procedures and information as required for guest and fellow employees.Access both the Agilysys System and Patron Management System to upkeep and oversee all group room reservations, event reservations, etc.; utilized reporting from each database.
Must be able to handle confidential information in a professional manner. Complies with BlueWater Resort & Casino rules and regulations. Complies with Federal, State and Tribal laws ad required. Works in a safe manner; complies with company and OSHA safety regulations. All other duties as assigned (non-gaming functions and issued gaming license permitting).KNOWLEDGE, SKILLS & ABILITIES:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. All Employees must be knowledgeable to all Company policies and procedures.
Must be proficient in standard office procedures and equipment. Knowledgeable in Word, Excel and Windows. Ability to work with minimal supervision is a must. Problem solving skills are much needed to clearly present ideas and findings to Supervisor and other departments. Knowledgeable with Apple Mac and Microsoft PC. Organizational skills. Verbal and written communication skills. Ability to multi-task, work under pressure and meet deadlines required.
Qualifications
QUALIFICATIONS & REQUIREMENTS:
High School Diploma or GED equivalent required. Must have a minimum of two years of Administrative Assistant experience or equivalent work experience would be preferable. Must be able to type 55+ words per minute. Must have a professional phone etiquette and ability to multi-task many projects at once.
Must be able to have a flexible schedule and able to work outside the standard workweek as business needs dictate.
Must be at least 21 years of age. Must be computer literate in word processing, spreadsheets, database, email and the internet.PHYSICAL DEMANDS

WORK ENVIRONMENT:
Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Position is in a fast-paced environment. Smoke filled environment at times. Will have contact with employees, external agencies and the public.
